Employment Type: Full-timeLanguages: English required; Spanish bilingual proficiency strongly preferredAbout the RoleMedical Outfitters is seeking a highly organized and detail-oriented Sales Administrative Assistant to support our company-wide sales operations across the USA, Puerto Rico, Dominican Republic, and the Caribbean.This role is critical to ensuring that our multi-regional sales team operates efficiently and cohesively. The ideal candidate will be a proactive professional who thrives in a fast-paced environment, demonstrates exceptional organizational and communication skills, and brings a customer-first mindset to every task.Key ResponsibilitiesPrepare and manage sales quotations, proposals, and supporting documentation for all Medical Outfitters territories.Update and maintain CRM systems (e.g., HubSpot) to ensure accurate and timely tracking of leads, opportunities, and client activities.Assist with data reporting and analysis for sales performance metrics using Microsoft Excel and Google Sheets.Coordinate meetings, calendars, and schedules between sales representatives, management, and clients across multiple regions.Support expense tracking and reconciliation for the sales team, ensuring proper documentation and accuracy.Maintain organized records of sales documentation, quotes, contracts, and correspondence.Provide administrative support for sales initiatives, events, trade shows, and marketing activities.Liaise across departments (finance, service, marketing, logistics) to support sales execution and customer follow-up.Qualifications & SkillsMinimum 3 years’ experience in sales administration, operations, or executive support (preferably in a corporate or commercial setting).Advanced proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and Google Workspace (Sheets, Docs, Slides).Experience working with CRM platforms (HubSpot, Salesforce, or similar).Excellent organizational, analytical, and multitasking skills, with strong attention to detail.Effective communication skills, both written and verbal.Ability to work independently and handle multiple priorities in a fast-paced environment.Customer-centric, professional, and team-oriented mindset.Bilingual (English and Spanish) Required.Why Join Medical OutfittersBe part of a growing organization with operations across the USA and the Caribbean.Opportunity to work closely with leadership and contribute to strategic sales initiatives.Collaborative environment that values initiative, accuracy, and innovation.Exposure to international sales processes and diverse markets. Company DescriptionDiagnostic Medical Equipment Company located in Doral Florida with Sales and Service Operations nationwide and throughout the Caribbean visit us at www.medicaloutfitters.com
