Position Overview
We are seeking a part-time receptionist for our Medica Hair New Jersey office to support daily clinic operations. This role requires strong organizational skills, professionalism, and the ability to provide a high-quality patient experience from first contact through follow-up. This position is expected to grow into a full-time role as the clinic continues to expand, offering a clear path for increased hours and responsibility.
Responsibilities
- Schedule, coordinate, and maintain patient appointments, ensuring efficient use of the clinic’s calendar and minimizing scheduling conflicts or gaps.
- Greet patients in a professional and welcoming manner, manage check-in and check-out processes using Electronic Medical Record (EMR) systems.
- Clearly explain available treatments and services, including procedures, benefits, and general expectations, helping patients feel informed and confident in their decisions.
- Conduct timely follow-ups with patients to confirm appointments, provide pre- and post-treatment instructions, and maintain ongoing engagement and care continuity.
- Handle all patient communications across phone, email, and messaging platforms, ensuring prompt, accurate, and professional responses at all times.
- Manage and maintain the clinic’s social media presence, including responding to inquiries, engaging with potential patients, and supporting lead generation efforts.
- Process payments, issue receipts, and maintain accurate financial and patient records in compliance with internal procedures.
- Perform a range of administrative duties, including data entry, document management, inventory coordination, and general operational support to ensure the clinic runs efficiently.
Skills
- Excellent customer service skills combined with professional phone etiquette and effective communication abilities.
- Knowledge of HIPAA regulations to ensure patient confidentiality and data security at all times.
- Ability to review documentation thoroughly for accuracy and completeness while supporting care plans and insurance claims processing.
- Bilingual abilities are highly preferred to assist diverse patient populations effectively.
- Previous clinic, spa, salon, or aesthetic center is advantageous for understanding medical office management workflows.
- Strong organizational skills with attention to detail in medical records management and administrative support tasks.
Education
- College Preferred or equivalent preferred, but not required
