Key Responsibilities:
• Assist the Clinical Operations Manager and Clinical Operations Director with administrative tasks related to clinical flow, scheduling, reporting, and patient engagement.
• Support usage of Tebra and related clinical systems, including Patient Portal updates, Feedback management, Engagement tracking, Provider Presence, Dropbox organization, and communication platforms.
• Conduct and assist with Weekly/Monthly Audits by preparing reports, gathering data, and ensuring documentation accuracy.
• Assist with enforcement of clinic compliance regulations, protocol deadlines, and documentation requirements.
• Serve as a Point of Contact for general patient and clinic inquiries; route messages and escalate concerns as needed.
• Support the scheduling department by helping maintain workflow accuracy, patient communication, and appointment follow-up tasks.
• Assist in ordering, tracking, and organizing medical and office supplies for clinic locations.
• Help maintain compliance with healthcare regulations and clinic policies, including cleanliness standards, HIPAA guidelines, and safety protocols.
• Collaborate with clinical staff, providers, clinic managers, and administrative teams to ensure smooth clinic operations.
• Assist with travel coordination, logistics organization, and clinic coverage support when needed.
• Support Mobile Collaboration and Logistics tasks as assigned.
• Assist with the hiring process by scheduling interviews, organizing candidate documents, and helping collect feedback.
• Serve as a liaison between scheduling, marketing, and clinic departments to support operational alignment.
• Assist with documentation related to clinic employee conflicts, corrective actions, and communication follow-ups.
• Other administrative duties as assigned.
Qualifications:
• Associate degree required; Bachelor’s degree in healthcare administration, business administration, public health, or a related field preferred.
• Experience in healthcare administration, office administration, or clinical support environments preferred.
• Familiarity with EMR systems and practice management workflows.
• Strong organizational skills and high attention to detail.
• Ability to work independently with minimal supervision and maintain self-motivation.
• Ability to present ideas clearly and assist with process improvements.
