Job Summary
We are seeking a professional and organized Front Desk Receptionist/Office Assistant to join our team. This role is vital in ensuring smooth office operations, providing excellent customer service, and supporting administrative functions. The IDEAL candidate will be personable, detail-oriented, professional and proficient with office management and communication. Bilingual skills are a plus, as well as experience in medical reception. This position requires a positive, highly organized, upbeat person with a strong skillset in professionalism.
Responsibilities
- Greet visitors and clients warmly, providing exceptional customer service at all times
- Manage multi-line phone systems, screen calls, and direct inquiries appropriately
- Schedule appointments and maintain calendars
- Perform data entry, filing, and maintain accurate records with a high attention to detail
- Handle correspondence via email and phone professionally, including proofreading and editing documents
- Assist with office management tasks such as supply inventory and document organization
- Support clinic supply needs by restocking when needed
- Provide provider and management support including typing, proofreading, and document preparation
- Manage front desk operations efficiently to ensure a welcoming environment for clients and staff
- Support personal assistant tasks or medical receptionist duties as needed
Skills
- Proficiency with email, faxes, scanners, printers, etc.
- Strong computer literacy with experience in data entry and office management
- Ability to take initiative and problem solve with a positive attitude
- Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
- Exceptional phone etiquette and customer service skills, including experience with multi-line phone systems
- Bilingual abilities are preferred to assist diverse client needs
- Previous office experience, including clerical, administrative, or receptionist roles
- Strong typing skills with attention to professionalism, accuracy and proofreading capabilities
- Knowledge of calendar management and appointment scheduling
- Ability to handle confidential information discreetly and professionally
- Excellent time management skills to prioritize tasks efficiently
This position is the “HEART” of the clinic and integral to maintaining an organized office environment while delivering outstanding support to clients and staff. The successful candidate will demonstrate professionalism, adaptability, initiative and a proactive approach to daily responsibilities.
Job Type: Part-time
Pay: $19.00 - $22.00 per hour
