Client Relations Specialist
Full-Time | In-Office | Grand Rapids, MI

Medalist Wealth Management is a rapidly growing Grand Rapids-based financial advisory firm specializing in retirement planning and comprehensive wealth management services. We pride ourselves on a client-centric approach—putting clients at the core of our business, not a corporate agenda. Our firm is highly active in the West Michigan community, hosting multiple educational workshops each month, producing a weekly TV show, radio program, and podcast, and delivering a hands-on planning process that helps families retire with confidence.

We are seeking a motivated, detail-oriented, and people-focused Client Relations Specialist to join our team. This full-time, in-office role is central to ensuring our clients receive an exceptional experience from the very first meeting through every stage of their financial journey.

What You’ll Do

  • Partner with advisors to deliver an outstanding client experience at every interaction.
  • Manage client onboarding from start to finish, including paperwork, applications, custodial accounts, and annuity processing.
  • Assist in preparing for client meetings and annual reviews (e.g., gathering reports, drafting materials, organizing files).
  • Support and attend client appreciation events, educational workshops, and seminars — helping with logistics, setup, check-in, hospitality, and follow-up communication.
  • Provide day-to-day client service by answering questions, troubleshooting issues, and ensuring timely responses.
  • Maintain and strengthen client relationships through consistent communication and proactive outreach.
  • Handle office administration tasks that keep operations smooth and efficient.
  • Collaborate with team members to improve processes, leverage technology, and uphold compliance standards.
  • Contribute to our team’s reputation for professionalism, warmth, and attention to detail.

What We’re Looking For

  • Excellent communication and interpersonal skills — you love working with people and making them feel valued.
  • Strong organizational ability — you thrive in a detail-oriented role and keep tasks moving forward.
  • Event and hospitality mindset — you enjoy creating memorable experiences for clients at workshops and appreciation events.
  • Proactive mindset — you don’t wait to be told, you anticipate needs and take ownership.
  • Ability to work independently and as part of a collaborative team.
  • Comfort with technology; experience with CRM systems, financial software, or tools like Fidelity or Charles Schwab platforms is a plus.
  • Familiarity with annuity or investment account applications is valuable, but not required.
  • Prior experience in financial services, client service, event coordination, or administrative roles is preferred but not mandatory.

Why Join Medalist Wealth Management

  • Be part of a firm that is growing quickly, with opportunities to expand your role and career over time.
  • Work in a supportive, entrepreneurial culture where your contributions directly impact client satisfaction.
  • Enjoy flexible scheduling within an in-office environment that values work-life balance.
  • Gain exposure to the financial planning process, events, and media presence of a dynamic wealth management team.

If you are passionate about building relationships, have a keen eye for detail, and want to be part of a firm that is shaping the future of retirement planning in West Michigan, we’d love to meet you.
