Mechanical Systems & Services (MSS) is seeking a highly organized and detail-oriented Construction Admin to support our growing construction and commercial HVAC operations. This position plays a key role in keeping projects organized, assisting project managers, coordinating documentation, and ensuring the office operates efficiently.

What You'll Do
- Provide administrative support to Project Managers and construction operations.
- Prepare, organize, and maintain project files, contracts, submittals, RFIs, change orders, and closeout documentation.
- Assist with scheduling meetings, coordinating project communications, and tracking project milestones.
- Process purchase orders, invoices, and other project-related documentation.
- Maintain accurate records and enter project information into company software systems.
- Answer incoming phone calls, greet visitors, and provide professional customer service.
- Coordinate with vendors, subcontractors, field personnel, and customers to ensure timely communication.
- Assist with office organization, filing, data entry, and other administrative duties as assigned.
Qualifications
- Previous administrative experience in construction, HVAC, mechanical contracting, or a related industry preferred.
- Strong organizational skills with exceptional attention to detail.
- Excellent verbal and written communication skills.
- Proficient with Microsoft Office (Word, Excel, Outlook); experience with construction software is a plus.
- Ability to manage multiple priorities while meeting deadlines.
- Positive attitude, strong work ethic, and a team-oriented mindset.
