Responsibilities

• Monitor the MP-NSW Quote Log daily and update project statuses, outcomes, and relevant notes in real time.
• Regularly check and manage the MP-NSW Bid Request email account, ensuring all incoming requests are reviewed, logged, and assigned promptly.
• Prioritize and manage time effectively to meet strict bid deadlines and submission requirements.
• Create organized job folders (digital and/or physical) for each project opportunity.
• Download, review, and file plans, specifications, addenda, and other project documents into the corresponding job folders.
• Create new projects in FACTS (or other CRM/ERP system) and add customers requesting bids or quotes.
• Communicate clearly and professionally with internal team members (estimators, project managers, sales engineers), manufacturers, contractors, and engineers as needed.
• Schedule and create meetings or follow-ups for Target projects and other high-priority opportunities.
• Provide administrative and logistical support to Estimators and Project Managers as required, including data entry, document preparation, and follow-up on outstanding items.
• Actively participate in sales trainings, team meetings, and manufacturer product sessions to stay informed on HVAC equipment lines and industry trends.
• Assist with special projects, reporting, or administrative tasks as assigned by management.

Qualifications

• High school diploma or equivalent (Associate’s degree preferred).
• Strong organizational skills and attention to detail.
• Excellent time management and ability to prioritize multiple deadlines.
• Proficient in Microsoft Office (especially Outlook, Word, Excel) and comfortable learning internal software systems (e.g., FACTS, quote logs, cloud storage).
• Effective written and verbal communication skills.
• Ability to work independently and collaboratively in a team environment.
