What You’ll Do
As Business Office Manager, you will oversee all business office operations while ensuring compliance with federal, state, and company regulations. Your responsibilities include:
Financial & Operational Leadership
- Manage Accounts Receivable/Payable, census, billing, payroll, petty cash, HR support, and trust accounts
- Ensure compliance with internal financial policies, Medicare/Medicaid regulations, and sound accounting practices
- Monitor Days Sales Outstanding (DSO) and collaborate with corporate teams to resolve past-due accounts
- Oversee monthly financial close processes and required reporting
Admissions, Billing & Resident Support
- Participate in Admissions and Medicare meetings, evaluating financial eligibility and coverage
- Support residents and families with Medicaid applications, spend-down guidance, and documentation
- Ensure accurate census reporting, billing, and ancillary charge submission
- Counsel residents and responsible parties on financial matters with professionalism and empathy
Leadership & Collaboration
- Supervise, train, and support business office staff
- Build strong working relationships across all departments
- Serve as Chairperson of the Safety Committee
- Act as the primary contact for accounting, billing, and IT-related issues
Compliance & Quality
- Uphold Residents’ Rights and promote positive relationships with residents, families, visitors, and regulators
- Adhere to Guardian Elder Care’s Code of Conduct and Corporate Compliance Program
- Participating in Quality Improvement initiatives, audits, and ongoing education
What We’re Looking For
Required Qualifications
- High school diploma or equivalent
- Strong organizational, communication, and computer skills
- Ability to manage multiple priorities and meet deadlines
- Ability to lift and carry up to 30 lbs
- Valid Pennsylvania driver’s license
- Ability to meet health screening, background check, and drug screening requirements
Preferred Experience
- Previous long-term care or healthcare business office experience
- Familiarity with Medicare, Medicaid, and nursing facility billing processes
Schedule & Status
- Full-Time
- Monday–Friday, 8:00 AM – 4:30 PM
- Occasional weekend coverage as needed
- On-site position
