JOB SUMMARY:
The job of the administrative assistant provides a variety of office support and/or secretarial duties for the district office as well as providing technical support to users, troubleshooting issues, often acting as the first point of contact for IT issues. This position report to the Assistant Directors of Technology.
ESSENTIAL FUNCTIONS:
- Provide a courteous, efficient, positive, and welcoming atmosphere to students, staff, parents, administration, and community including answering phones and greeting visitors in a consistently positive and friendly tone, and performing a variety of other office functions.
- Perform a wide variety of assignments which are sometimes confidential in nature; operate personal computer to enter data, draft, edit, revise, and print letters, tables, and reports as well as other materials
- Document all emergencies/911 calls and all drills that occur at all schools.
- Provide clerical support for the Department of Student and Family Services including filing, occasional mailings, and providing forms and information to the public when requested.
- Receive and process "Intent to Homeschool" forms. Maintain a database and submit a yearly report to OSPI regarding Intent to homeschool forms.
- Update and maintain the district calendar for meetings in various district office meeting rooms.
- Run and maintain the postage machine and specific mailing procedures.
- Monitor and maintain mailing supplies.
- Monitor and process outgoing mail and deliveries. Distribute incoming district mail and deliveries.
- Troubleshooting basic level I.T. issues and communicating with appropriate I.T. staff.
- Provide backup to the main Technology Services and Help Desk line.
- Assist in managing Help Desk work orders and work orders for technicians including answering questions and problems related to software updates issues, email, web browsers and operating systems.
- Assist and maintain accurate up-to-date technology equipment inventory records.
- Track and maintain accurate documentation for technology related warranty returns.
- Assist parents during the summer with the online enrollment process.
- Maintain the coffee/tea/water bar.
- Maintain the reception room and meeting room areas.
- Provide additional various clerical support for District Office Departments as requested during slow/down time.
- Follow District policies and procedures.
- Other duties as assigned.
QUALIFICATIONS:
- Associate or Bachelor Degree, preferred
- Equivalent education and/or work experience in the information technology field
KNOWLEDGE, SKILLS & ABILITIES:
- Ability to multi-task and work independently
- Ability to handle complaints with patience and efficiency
- Strong organizational skills and the ability to work well under pressure and to meet deadlines
- Excellent writing skills and demonstrated ability to develop written reports, documents, and action plans

- Considerable knowledge of Windows, Macintosh and Chrome platform proficiency

A person working in this position is confined to a work area; required to have dexterity of fingers and hands while working at a computer monitor for prolonged periods and must be able to crouch, crawl, bend, kneel, and lift/move objects weighing up to 50 pounds such as files, boxes, etc. The position experiences constant interruptions and inflexible deadlines; may be required to deal with distraught and/or upset persons, and may be exposed to infectious diseases. The noise level in the work environment can vary depending on daily activity, but will remain within acceptable ranges.
TERMS OF EMPLOYMENT and Salary:
As outlined by and in accordance with the collective bargaining agreement (CBA) of the Mead Association of Educational Office Professionals (MAEOP) and Policies and Procedures of Mead School District. A typical school year consists of one hundred eighty (180) scheduled school days plus eleven (11) holidays and twenty-one (21) days beyond the one hundred eighty (180) day student calendar.
The salary range for the position is:(Range B) Min $19.84 - Max $24.16. Salary placement will be at step 1 on the appropriate scale for the position unless otherwise noted within the contract. Each employee shall accumulate twelve (12) days of sick leave per year. An employee employed less than a full work year shall be entitled to a proportionate part of the sick leave allowance. A maximum of three (3) days of annual leave are provided for all employees based on the employee’s scheduled employment hours per day to be used for an absence during work hours, or to be accumulated for the purpose of cash out.
Employees anticipated to work more than 630 hours per year will be eligible for Benefits through the School Employees Benefits Board (SEBB) Standard benefits include Medical, Dental, Vision, Life Insurance, and Long-Term Disability. Positions anticipated to work 70 hours or more per month for at least 5 months over a 12-month period are eligible for Retirement through the State Department of Retirement Services.
