What are the responsibilities and job description for the Purchasing and Facilities Specialist position at MDA Insurance & Financial Group?
General Purpose:
Provides a variety of internal support functions including purchasing and maintaining office supply inventories, all company mailroom and shipping activities, vendor contacts, general cleaning and basic maintenance services for the Michigan Dental Association building.
Primary Accountabilities* - Production Room:
· Responsible for processing mail.
· Purchase and maintain office supply inventories and processes special requests.
· Maintain kitchen supply inventories.
· Duplicates materials as scheduled and on request.
· Organizes/stocks 2nd floor copy room on a weekly basis.
· Orders/maintains pop supply to include returning pop cans.
· Enters order data information for Saleable Materials (radiography, brochures, etc.) in customer management software. Ships orders and tracks inventory.
· Receives and scans material for MDA staff.
· Receives and distributes IFG supplies for Insurance departments.
· Processes out bound UPS shipments for MDA and IFG and maintains equipment.
Primary Accountabilities* - Building:
· Open building at start of workday and as needed.
· Performs general clean-up
· Provides basic maintenance.
· Maintains inventory of cleaning and general maintenance supplies.
· Provides occasional building security.
o Remains on premises during after/before hour meetings to open doors for guests.
· Vendor Contact.
o Works with a variety of building vendors to negotiate contracts and ensure that all areas of the building are functioning properly.
· Communicate with staff regarding building projects as needed.
· Primary on-call contact for building emergencies.
· Research building services contracts. Conduct Requests-for-Proposals (RFP’s)
when necessary.
· Enters Data for personnel, distributes and maintains the hardware for key fobs.
· Maintains the cameras in the security system.
· Manages the rental of conference rooms for outside organizations.
· Oversees and maintains the equipment and conference room setups for in house meetings & seminars (CE Department). Coordinates all requirements for rented conference space seminars.
· Other duties as assigned.
Qualifications:
· General Educational/Experiential Development
o Verbal and written communication skills, quantitative skills and general educational development typically associated with completion of a general high school curriculum.
· Specific Educational/Experiential Development
o Basic training in carpentry, electrical work and plumbing, with the ability to maintain and perform simple maintenance on furniture, electrical systems and plumbing fixtures.
o Must be technologically savvy.
Working Conditions:
· Job requires the ability to slide, shift, move and lift furniture, equipment and other fixtures, which may exceed 50 pounds. Duties will occasionally be performed outdoors, in cramped spaces and on ladders. Occasional exposure to hazardous conditions is probable.
Comments:
· This position may require overtime, for example during annual session. Overtime is at the direction of the immediate supervisor and human resources. Approval of overtime is granted by the executive director and/or human resources.
· The person in this position is required to lift heavy objects such as paper boxes, office machinery, office/kitchen supplies, etc.
· The employee in this position is required to spend some time performing duties and responsibilities related to MDA subsidiary functions and activities. The employee is required to keep track of time using the Association’s uniform daily time sheet for this record keeping purpose.
