Job Summary
We are seeking a highly organized and adaptable Patient Services Coordinator to support our mental health and family medicine practices. This position is primarily based in our Bowie office, with a regular split schedule (approximately 50/50 or 60/40) between our Bowie and Silver Spring locations.
The ideal candidate is detail-oriented and thrives in a fast-paced environment while balancing multiple responsibilities. This role plays a key part in delivering an exceptional patient experience while supporting both administrative and operational needs across sites.
Key Responsibilities
- Greet patients and visitors in a professional, welcoming manner
- Answer and manage incoming calls, routing messages and inquiries appropriately
- Schedule appointments and maintain accurate records in the electronic health record (EHR) system
- Verify insurance coverage and collect co-pays, balances, and past-due payments
- Support medical collections efforts for outstanding patient balances
- Maintain a clean, organized, and efficient front desk/reception area
- Assist with medical records management, including scanning, filing, and documentation
- Ensure strict compliance with HIPAA and patient confidentiality standards
- Collect patient samples as ordered by providers (if applicable)
- Collaborate with providers and clinical staff to meet patient care needs
- Provide cross-coverage and assist other administrative team members as needed
- Participate in marketing and outreach initiatives, including community events and patient engagement efforts
Required Skills & Qualifications
- Bilingual (preferred)
- Knowledge of medical terminology and ICD-10 coding
- Experience with electronic health record (EHR) systems
- Understanding of medical billing, collections, and insurance processes
- Proficiency with multi-line phone systems and scheduling software
- Strong data entry and typing skills
- Ability to multitask and remain detail-oriented in a fast-paced environment
- Strong interpersonal, communication, and customer service skills
- Flexible, team-oriented mindset with willingness to “wear multiple hats”
