Position Summary
The Accounts Payable Specialist supports the accounting staff across the firm. The AP Specialist will frequently handle multiple finance related tasks, coordinate logistical details, actively participate in accounts payable management, and interact with other team members. In addition, the AP Specialist may perform a variety of day-to-day office administrative duties.

Position Summary

Essential Functions
- Perform accounts payable functions.
- Conduct daily check for trade invoices.
- Obtain required authorization to process payment.
- Enter and pay trade payables to include coding.
- Provide documentation for payment semi-monthly.
- Provide monthly billing support.
- Communicate with Project Accountants to ensure expense reports have been posted for pre-bills.
- Review, correct, and enter expense reports.
- Manage corporate credit cards and reconcile to statement monthly.
- Reconcile vendors statements to GL and consultant ledger.
- Set up and monitor tracking and filing system for consultant certificates of insurance (COI).
- Support preparation of 1099s annually.
- Manage vendor list in Vision.
- Manage system to prevent duplicate payments.
- Provide company-wide clerical assistance as needed.
- Perform other duties as directed.

Requirements
Required Qualifications
- High school diploma
- Associate’s degree in business administration, preferably Accounting or four (4) years related experience in a fast paced professional environment.
- Proficiency with Microsoft Outlook, Word, PowerPoint, and Excel software.
- Knowledge of generally accepted accounting principles.
- Ability to effectively and confidently prioritize and execute tasks with many competing priorities.
- Effective verbal and written communication skills.
- Good analytical and problem-solving abilities.
- Ability to provide excellent customer service (internally and externally).
- Exceptional organizational and follow-through skills.
- Ability to manage information with a high level of detail and accuracy.
- Self-motivated and ability to work independently.
- Bachelor’s degree.
- Experience in an architectural, engineering, or construction firm.
- Experience with Deltek Vision software
