What are the responsibilities and job description for the Receptionist- McLarty Collision West position at McLarty Automotive Group, LLC?
As a Collision CSR/Receptionist, you will be the first point of contact for our company. You will manage working relationships with customers and insurance companies while providing all components of administrative support for the Collision Team.
Responsibilities
- Greets and welcomes guests as soon as they arrive at the office.
- Schedules appointments for vehicle repair using CCC and CDK.
- Receives cash, checks, and credit card payments from customers and records the amounts received.
- Ensures timely retrieval of insurance assignments and obtain necessary repair authorization documentation in order to dissemble vehicles for repair.
- Prepares RO work packet consisting of QC check list, work order, parts listed, and windshield tag used to record the proper indicators.
- Records all communication with customers or insurance partners during the repair process using CCC or CDK.
- Confirms car rental information and updates CCC with rental car usage information.
- Manage ARMS system throughout the day to ensure all vehicles appearing in the system are also noted in CCC and CDK.
- Closes repair orders on the computer system in a timely manner.
- Files repair orders.
- Reconciles cash drawers daily, as directed by the accounting office.
- Follows up on body shop accounts receivables to maintain satisfactory levels of payment.
- Assists body shop manager as necessary.
- Maintains a professional appearance and work area.
- Maintains a professional attitude with customers, colleagues, and vendors.
- Other duties may be assigned.

Requirements
- Valid Driver's License.
- Minimum: 1 year experience in a similar role.
- Preferred: 1 year experience in an auto body or similar work environment including precious customer service experience.
- Excellent problem solving skills.
- Strong attention to detail with a high degree of accuracy.
- Proficiency in Microsoft Office Suite including Outlook.
- Professional attitude and appearance.
- Solid written and verbal communication skills.
- Strong sales drive and exceptional customer service.
- Ability to be resourceful and proactive when issues arise.
- Multitasking and time-management skills, with the ability to prioritize tasks.
Must possess and maintain acceptable MVR insurability standards. Must pass applicable background and drug screenings.
