Job Title: Assistant Property Manager
Reports To: Property Manager
Location: Cranberry , PA
SUMMARY
The Assistant Property Manager will assist with the day-to-day operational management of several commercial office properties. He/she is also responsible for the assistance in implementing the policies, procedures and programs which place emphasis on tenant concerns, ownership objectives and maintaining the maximum asset value of the properties.
ESSENTIAL DUTIES AND RESPONSIBILITIES include, but are not limited to, the following:
- Provide exceptional customer service, respond timely to tenant issues and concerns, and promote positive tenant relations.
- Establish and maintain strong and positive relationships with all property tenants, vendors, and contractors.
- Prints and sends rent statements for properties monthly.
- Track and bill utilities and all chargebacks.
- Leads the collection of rents, payment of expenses, and compliance with lease terms.
- Codes invoices in accordance with budget for payment and processing.
- Assists in preparation of monthly and quarterly client/ownership reports for review and approval by Property Manager.
- Assists in budget preparation/draft annual budget for review and approval by ownership.
- Serves as liaison between tenant and Property Manager and response to tenant needs on a timely basis to meet lease obligations.
- Monitors and track work proposals and other service requests as necessary.
- Tracks vendor and tenant certificate of insurance expiration dates, requests renewals, and ensures compliance with standard coverage terms and conditions.
- Assists in completing regular inspections of the properties and recommends alterations and/or maintenance of the property and oversees work as necessary.
- Provides tenant account reconciliations, aged delinquencies, and other A/R driven duties.
- Provides year-end common area maintenance reconciliations.
- Creates and distributes tenant badges for access into the building.
- Coordinates conference center rentals, billbacks, and equipment with the tenants.
- Any other duties/tasks as directed by the Property Manager.

- Yardi software experience a plus
EDUCATION and/or EXPERIENCE
- A bachelor’s degree is preferred and/or equivalent experience.
- Minimum 2 years’ previous related experience in a Commercial Real Estate background.
- Minimum four (4) to five (5) years of administrative assistant experience
- Proficient in Microsoft Excel, Word, and Outlook
- Excellent verbal and written communication skills
- Detail oriented with strong organizational skills and ability to multi-task.
