Job Summary: Our Referral Coordinator is the go-to for all things related to patient referrals. This role ensures no patient falls through the cracks, whether they’re being referred into MEC or sent out for additional care. You'll be the connection point between patients, referring providers, our Team, and external specialists. Essential Functions:
- Receive, maintain, and take timely action on referrals from all third-party platforms, internal providers, and outside sources
- Manage the full referral life cycle: contact the patient, schedule their appointment, verify insurance, acquire pre-authorizations when needed, and properly close the referral in the system
- Use Referify to manage and streamline referral workflows and ensure proper documentation and follow-up
- Communicate consistently with referral sources to ensure patient information and registration are complete
- Provide patient updates to referring sources and facilitate smooth care transitions
- Coordinate with our Patient Experience Manager on needs or trends identified through external referrals
- Answer phones professionally and courteously; ensure prompt follow-up on voicemails, messages, and electronic communications
- Schedule patients with the appropriate MEC physician based on their needs, diagnosis, and insurance
- Respond to online appointment requests and patient inquiries regarding referral status
- Cancel and reschedule appointments as needed, ensuring all updates are communicated appropriately
- Create a warm and welcoming first impression for patients entering our care- MEC is where they should feel known, safe, and supported
- Verify and correct patient addresses using appropriate systems
- Meet or exceed identified referral volume metrics as set by management
- Assist with other administrative or clinic-related tasks as assigned
- Other duties as assigned.
Education
Required:
- Minimum 2 years of college
Experience/Skills/Other Requirements
Required:
- Experience in a referral coordination or front office role (ophthalmology or specialty clinic experience preferred)
- Strong knowledge of insurance verification and pre-authorization processes
- Excellent communication and customer service skills
- Proficiency with scheduling systems and third-party platforms like Referify
- Highly organized with the ability to manage multiple tasks and timelines
- Team player who thrives in a fast-paced environment

- Occasional stress from workload or from dealing with upset patients or emergency situations.
- Normal vision and hearing needed.
- Must be able to lift up to 25 pounds.
