JOB SUMMARY: ***PLEASE NOTE THIS IS A 2ND AND 3RD SHIFT POSITION ONLY***
The Hours-of-Service Administrator is responsible for assisting with the application of FMCSA regulations, particularly focusing on driver qualification files, expiration items, MVR Compliance, CSA Score Compliance, and Roadside Inspection Violations. This position will play a key role in supporting regulatory compliance through safety systems management, coaching assignments, and documentation. The Compliance Specialist will work closely with safety teams across the organization to monitor and track safety data, recommend corrective actions, and assist with regulatory compliance to maintain sustainability and enhance operational safety.
RESPONSIBILITIES
FMCSA Compliance Management:
- Monitor and ensure adherence to FMCSA regulations, focusing on driver qualification files, expiration items, and data accuracy in safety systems.
- Track and maintain MVR Compliance, CSA Score Compliance, and Roadside Inspection Violations to ensure all documentation is up-to-date and compliant with regulatory standards.
2. Telematics & Video Data Review:
- Manage and assign drivers to the appropriate coaches within the Samsara system for Event Data Review and make necessary changes based on assignment updates or incidents.
3. Recommend Corrective Actions:
- Collaborate with the Director of Safety to propose appropriate corrective actions and training based on the analysis of driver safety data and regulatory non-compliance.
4. Data Management:
- Maintain organized records of compliance-related documentation, ensuring that driver qualification files, MVR compliance, and CSA score data are kept accurate and updated in line with regulatory standards.
- Maintain open communication with drivers, departments, and other stakeholders to align on compliance standards and safety protocols.
- Use the Samsara Message System to communicate safety updates and regulatory issues with drivers.
5. Training and Support:
- Provide training and support to drivers and internal staff on FMCSA regulations, compliance practices, and safety protocols.
- Assist in assigning educational modules or corrective actions as needed, particularly post-incident or injury-related training.
6. Reporting:
- Prepare regular reports summarizing activities, trends, and safety data at the end of each day for sharing with the Safety Team.
7. Additional Duties:
- Assist with other safety-related tasks or initiatives as directed by leadership, including involvement in auditing, safety program administration, and other tasks.
Education & Experience:
- High School diploma or equivalent required.
- Prior experience in FMCSA compliance roles, particularly related to Hours of Service (HOS) and ELD utilization, is preferred.
- Strong understanding of FMCSA regulations and safety standards in the commercial motor vehicle industry.
- Proficiency in using ELD systems, with a particular advantage for experience with Samsara.
- Excellent analytical skills and attention to detail when reviewing telematics, driver data, and video footage.
- Effective communication skills (both written and verbal) for reporting and addressing compliance issues.
- Ability to work independently while being a collaborative team member.
- Strong organizational and documentation management skills for managing compliance records and generating reports.
- Problem-solving skills and the ability to recommend and implement corrective actions based on data analysis.
- Familiarity with accident and injury report processes is a plus.
- Adaptability to evolve compliance requirements and operational priorities.
Work Environment:
- This role will primarily be based during the 1st shift and will involve regular communication with drivers, teams, and other stakeholders.
- The position will require handling compliance documentation and data in a fast-paced, high-demand environment, focusing on continuous safety improvements and regulatory adherence.
