We are seeking to add a motivated and eager HR Administrative Assistant/Coordinator to join our team. The successful candidate will report to the Director of HR and provide operational and administrative support to the Human Resources department across a multi-state workforce of 500 – 1000 Team Members. This role requires a professional who understands how operational teams function and how HR processes integrate into daily business activities. The position supports onboarding, compliance tracking, engagement, and personnel documentation. The ideal candidate brings strong operational coordination experience in a fast-paced environment and understands how administrative processes support field operations and workforce management. While HR experience is valuable, candidates with operations, project coordination, or workforce administration experience in industries such as construction, manufacturing, logistics, or field services are strongly encouraged. The following are general responsibilities for the position:
Responsibilities:
- Coordinate with local Office Managers on onboarding processes for new hires across multiple locations.
- Assist in the recruitment process by posting job ads, screening resumes, conducting initial screenings, and scheduling interviews.
- Manage Form I-9 compliance and employment eligibility verification.
- Manage the PTO tracking for Office and Non-Union Field Team Members in HRIS system.
- Serve as a point of contact for Team Member queries regarding HR policies and procedures and assist with promoting a positive and welcoming or supportive work environment.
- Manage company-wide Team Member Anniversary Program.
- Track and maintain documentation related to workforce compliance.
- Assist with internal audits and reporting requirements.
- Support scheduling and logistics for HR-related meetings, investigations, and workforce reviews.
- Draft routine communications and documentation for HR initiatives.
- Coordinate distribution and acknowledgment tracking of policies and procedures.
- Track regulatory postings and compliance documentation.
- Support standardization and documentation of HR administrative processes.
- Help ensure workforce documentation meets federal, state, and company compliance requirements.
- Contribute to special projects such as Team Member engagement initiatives, policy updates, and HR system implementations.
- Collaborate with payroll and local office admins to ensure accurate and timely processing of Team Member information.
- Perform other related duties as required.
Minimum Requirements and Preferred Qualifications:
- 2 -4 years of experience in operational/administrative human resources or a similar role.
- Strong organizational and time management abilities.
- Multi-State administrative/operational support experience.
- Excellent communication skills, both written and verbal.
- Strong work ethic and a desire to work and learn in the construction industry.
- Knowledge of labor legislation and HR best practices.
- Ability to handle sensitive and confidential information with discretion.
- Ability to manage competing priorities.
- Proficiency in Microsoft Office 365.
- Preferred: Hands-on experience with HRIS and other HR-related software.
- Preferred: Experience in the construction industry or other similar fields (both union and non-union environments.)

Compensation and Benefits Include:
- Salary Range – $54,000 - $67,000 (DOE)
