Position Summary
The Deltek Vantagepoint Administrator drives operational excellence across a project based supports the business operations of a project-based engineering/technical services firm by managing and optimizing the Deltek Vantagepoint ERP system. This role ensures accurate project setup, time & expense workflow functionality, data consistency, reporting efficiency, and system configuration across Project Management, Finance, Marketing/CRM, and Human Resources. The Deltek Administrator works closely with Project Managers, technical teams and stakeholders to improve visibility into project performance, resource planning, and profitability.
Key Responsibilities
- Serve as the primary system administrator for Deltek Vantagepoint. Oversees installation, performance, updates, monitoring, back-up and restore activities.
- Configure and maintain project lifecycle workflows, including project setup, budgeting, forecasting, time entry, billing, and closeout.
- Establish and maintain user roles, security groups, dashboards, and approval workflows tailored to engineering operations.
- Monitor data accuracy across CRM, Projects, Finance, and HR modules; perform regular data audits and cleanup.
- Develop, customize, and schedule reports (project performance, utilization, billing forecast, backlog, etc.).
- Train staff at all levels (PMs, supervisors, finance, admin) and create job aids, documentation, and SOPs.
- Coordinate system updates, migrations, module expansions, and user acceptance testing.
- Troubleshoot system issues; coordinate with Deltek support and 3rd-party consultants if necessary.
- Support the finance team during monthly, quarterly, and year-end processes with system reporting and reconciliation support.
- Maintain integration with related systems, including accounting software, payroll/HRIS, CRM, and document management systems.
- Key Performance Indicator monitoring, such as system uptime, issue resolution, accuracy of project set up and financial data.
Required Qualifications
- 7 years of direct Deltek Vantagepoint ERP administration experience.
- Bachelor’s degree in accounting, business administration, information systems, engineering management, or related field.
- Experience in professional engineering, architecture, surveying, or technical consulting environment.
- Understanding of project-based financials, including utilization, work-in-progress, percent complete, cost/labor multipliers, and billing methods (Lump Sum, T&M, Cost ).
- Strong communication and training skills, especially with non-financial stakeholders.
- Proficiency with report building tools and/or business analytics (Deltek Reporting, SQL, Power BI, Power App, Power Automate, SharePoint or similar technologies).
Preferred Qualifications
- Experience supporting project managers in budgeting, forecasting, and resource planning.
- Experience integrating Deltek with CRM (Vantagepoint CRM) or HRIS/payroll (currently ADP.)
- Deltek Vantagepoint, ITILv3 and MCSA certifications.
