Job Title: Administrative Operations Manager (Multifamily Property Management)

Position Summary
The Administrative Operations Manager supports the smooth execution of administrative and operational processes across a multifamily portfolio. This role focuses on workflow coordination, document control, systems accuracy, resident communication support, and reporting. The position does not supervise staff but works closely with Property Managers, the Associate Regional Team, the Senior Regional Team, and accounting to keep operations organized, compliant, and efficient.
Key Responsibilities
Administrative Operations & Workflow Support
- Supports VP of Operations and Senior Regional Managers
- Coordinate and standardize administrative workflows across multiple multifamily communities.
- Maintain templates, checklists, and SOPs for operational communications, notices, and administrative processes.
- Maintain organized digital filing systems for property and resident documentation.
- Coordinate calendars, meeting agendas, notes, and action-item follow-up for operational meetings.
Property Systems & Data Accuracy
- Ensure timely and accurate data entry in the property management system(s) and shared trackers.
- Audit records for completeness and accuracy; correct discrepancies and coordinate fixes with property teams.
- Support implementation of new processes, reporting requirements, and system updates to improve consistency across the portfolio.
Financial & Reporting Support
- Prepare weekly/monthly operational reports and dashboards for Operations
- Assists/ preparing annual budgets for properties.
Compliance & Quality
- Ensure administrative practices align with company policies and applicable housing regulations, including Fair Housing standards in communications and documentation.
- Maintain confidentiality and accuracy of resident and property information.
- Identify process gaps, recommend improvements, and help roll out updates to reduce errors and increase efficiency.
- All other duties as assigned.
Required Qualifications
- 3 years of administrative operations, office administration, or property management support experience (multifamily preferred).
- Strong documentation, coordination, and follow-through skills across multiple properties.
- Proficiency in Microsoft Office (especially Excel) and/or Google Workspace.
- Experience with a property management platform (RealPage preferred).
- Excellent written and verbal communication skills.
- Detail-oriented with strong judgment and ability to manage competing priorities.
Preferred Qualifications
- AI Platform experience
- Experience supporting multifamily portfolios with multiple communities.
- Strong process documentation/SOP-building experience.
- Reporting/dashboard skills (Excel tables, pivot tables, simple metrics tracking).

Salary : $65,000 - $80,000
