About the Role
This is not a passive data-entry job. As our Inventory Coordinator, you will run essential day-to-day warehouse, inventory, and replenishment activities with a very high standard of accuracy and organization. You will work independently and will be trusted to improve processes, spot issues early, and take ownership of getting things done.
You will process daily UPS shipments, receive and count inventory, maintain accurate records, organize the warehouse, and coordinate replenishment orders with suppliers overseas. The role combines hands-on warehouse work with the opportunity to learn and contribute to purchasing, supplier communications, and inventory planning.
What You’ll Do
Create a Better, More Organized Warehouse
- Design, implement, and maintain a clean, efficient, clearly labeled warehouse organization system.
- Assemble and install shelving and warehouse racking where needed; organize product storage for safe, efficient access.
- Create useful procedures, checklists, bin locations, labels, and workflows for receiving, put-away, fulfillment, and inventory counts.
- Order and maintain warehouse supplies, packing materials, labels, and other operational necessities.
- Maintain a safe, orderly workspace and use equipment responsibly.
Own Daily Shipping and Fulfillment
- Pick, pack, label, and ship daily UPS parcel orders accurately and in an organized fashion.
- Meet the daily same-day shipping cutoff of 4:00 p.m. ET.
- Use ShipStation to create labels, maintain shipment records, and support accurate fulfillment.
- Set up LTL shipments when required.
- Process occasional returns (we have an exceptionally low return rate...something like 0.001%), including inspection, documentation, and return-to-stock coordination.
- Perform product quality checks when needed.
- Complete simple kitting/case-packing work
Keep Inventory Accurate and Under Control
- Receive inbound inventory; verify quantities and condition against purchase documents; document discrepancies or damage; and complete timely put-away.
- Maintain accurate inventory records across StockTrim, QuickBooks Online, Google Sheets, and related systems.
- Complete a full physical inventory count at least weekly; investigate, correct, and report discrepancies promptly.
- Maintain an exceptionally high standard of inventory accuracy to prevent stockouts, over-ordering, and unnecessary carrying costs.
- Monitor inventory levels, demand signals, reorder points, and forecasts in StockTrim.
- Recommend what to order, how much to order, and when to order it, to the CEO/Accounting Manager for approval
Coordinate Purchasing and Chinese Suppliers
- Communicate directly with suppliers overseas regarding replenishment needs, pro forma invoices, production schedules, order status, and exceptions.
- Manage approximately 5–10 open purchase orders at a time using the company’s Google Sheets tracker.
- Prepare and coordinate new inventory orders; negotiate pricing, quantities, and terms as appropriate.
- Route all final orders to the CEO for approval before placement.
- Keep purchase-order details current, including supplier, SKU, quantity, price, pro forma invoice status, production schedule, and expected arrival timing.
- Use concise, structured, decision-oriented communication to reduce unnecessary back-and-forth across the 12-hour time difference with suppliers.
- Report stock-out risks, production delays, pricing changes, and other exceptions promptly.
- Occasional supplier follow-up outside the normal shift is a strong plus, but not required.
Report Clearly and Communicate Proactively
- Provide a clear daily report at the start of employment covering shipments, inventory activity, counts, open purchase orders, inbound deliveries, issues, etc. at the end of every day
- Transition to concise, high-level reporting as systems become established and performance is demonstrated.
- Communicate directly and proactively with the CEO about priorities, inventory risks, operational improvements, and support needs.
What Success Looks Like in Your First 30–90 Days

What You Bring
- High school diploma or equivalent.
- U.S. citizenship required.
