We're looking for a sharp, detail-obsessed Listing Coordinator to own the entire listing lifecycle from contract to close. What you'll own
You'll be the operational engine behind every listing we take. That means managing paperwork, keeping sellers informed, coordinating field logistics, and making sure nothing slips through the cracks — ever.
LISTINGS & TRANSACTION MANAGEMENT
- Input and manage all listings in the MLS (MARIS) from launch through expiration or close
- Prepare, review, and send complete listing packages to sellers — including the Exclusive Right to Sell agreement, Sellers Disclosure, MREC Brokers Disclosure, Lead-Based Paint Disclosure (pre-1978), Well/Septic Disclosure, and Property Data Form
- Build and maintain Dotloop loops for every new, amended, or withdrawn listing; execute all associated task lists
- Process price reductions and listing extensions with accurate amendments and updated task checklists
- Contact and track all upcoming listings where paperwork has been sent — no seller left waiting
SELLER COMMUNICATION & RELATIONSHIP MANAGEMENT
- Maintain a running hot list of upcoming sellers and stay in consistent communication
- Call all active listings on a set rotation to provide feedback, discuss pricing strategy, and update photography
- Reach out to expiring listings before they expire to secure renewals
- Send weekly Expired Letters every Friday using MARIS Market Watch data — log all activity to avoid duplicate outreach
- Check and follow up on the listing partner's hot list regularly
FIELD COORDINATION & QUALITY CONTROL
- Coordinate sign placement, lockbox installation, property measurements, and professional photography for all new listings
- Schedule showings during business hours
- Monitor third-party listing sites (Zillow, Realtor.com, etc.) for errors and contact those platforms directly to correct inaccuracies
WHAT WE'RE LOOKING FOR
- Exceptionally organized — you build systems, maintain checklists, and never miss a follow-up
- Strong communicator — comfortable calling sellers, following up confidently, and keeping multiple parties updated
- Tech-savvy — experience with Dotloop, MARIS/MLS, Google Drive, or similar platforms is a big plus
- Real estate license preferred but not required; Missouri real estate knowledge is a plus
- Proactive problem solver who doesn't wait to be told what needs to be done
