What are the responsibilities and job description for the Bid Coordinator position at Matos Builders LLC?
The Bid Coordinator is responsible for completion of requests for proposal, invitations to bid, and requests for qualification responses with the estimating, technical response, and executive management teams.
The Bid Coordinator will be responsible for bid preparation, bid writing, bid processes, tender submissions, and trade partner outreach.
The Bid Coordinator will focus on insuring proposal due date compliance, data tracking, reporting for executive management teams, Business Development - Preconstruction Coordination, Preconstruction-Operations Coordination. weekly all hand meeting management, and site visit coordination.
The Bid Coordinator will perform upkeep on assignments / estimates under the supervision and direction of our Estimator. The daily workflow for the Bid Coordinator consists of solicitation management, constant collaboration, communication and guidance to meet pre-established deadlines. As approved bid requests come in, they will review the solicitation, set up the project, and upload tasks. File management is also one of the main focuses of the Bid Coordinator.
Duties/Responsibilities, Core knowledge:
- Building Connected Management
- Creating new Invitations to Bid
- Data base management
- Creating templates and bid invitation lists.
- Soliciting subcontractors via phone calls and direct messaging
- Sales Force
- Manage salesforce database.
- Constantly improve and develop sales force.
- Manage tasks and events for the team.
- Help make Sales force reports.
- Enforce user compliance and maintain note integrity.
- Manage estimate file integrity using Microsoft Sharepoint.
- Submitting pre bid RFI, facility access documents, and PPQ’s as instructed.
- Bid Bond Management
- Technical Proposal Coordination and confirmation
- Final Proposal Submissions
- Coordinate and attend Site Visits
- Support estimating team with their duties as needed.
Office Requirements
- 40 hours a week: 90 days of initial training in the office
- Hybrid work schedule available after 90 day probationary period, with 2-3 Days of office time, 2-3 days remote.
