Summary
We are seeking an experienced Administrative Assistant III to provide high-level administrative support to senior managers and departmental teams. This role serves as a key coordination hub, managing complex scheduling, communications, travel logistics, and documentation while acting as the first point of contact for internal and external inquiries. The ideal candidate is highly organized, detail-oriented, and able to manage multiple priorities while maintaining professionalism and discretion.

In this role, you will provide comprehensive administrative support to senior managers and team members. You’ll manage complex calendars, coordinate meetings, and ensure schedules are aligned with evolving priorities.
This includes organizing meetings with internal and external stakeholders, arranging meeting spaces, coordinating visitor access, preparing supporting materials, and distributing meeting documentation or follow-up items as needed. You will also manage travel logistics including transportation, accommodations, itineraries, and required documentation.
You will prepare correspondence, reports, and presentations while maintaining high standards for formatting, grammar, and accuracy. Additionally, you will manage incoming communications and correspondence, prioritizing inquiries and resolving routine matters directly when appropriate.
You will also maintain files, databases, and internal records, ensuring that sensitive and confidential information is organized and handled appropriately. The role may also involve supporting special projects, generating reports, assisting with basic data analysis, and helping improve administrative workflows and processes.

Our Ideal Candidate
- 5 years of experience as an administrative assistant supporting senior leaders or large teams
- Passion for operational excellence with a strong foundation in administrative coordination and office management
- Proficient in Microsoft Office tools including Outlook, Word, Excel, and PowerPoint, with strong organizational and documentation skills
- Familiar with administrative processes such as travel coordination, expense reporting, and meeting logistics
- Skilled in collaborating with cross-functional teams, senior leaders, and external partners
- Able to work independently and manage multiple projects simultaneously
- Flexible and adaptable to changing priorities, timelines, and stakeholder needs
- Strong written and verbal communication with exceptional attention to detail
- Demonstrates professionalism, sound judgment, and the ability to handle confidential information with discretion

Education and Experience
- Bachelor’s degree in business administration, communications, or a related field, or equivalent practical experience
- Background in administrative support, office management, executive assistance, or business operations
- Experience supporting senior leaders in fast-paced corporate environments preferred
- This opportunity is located in Los Angeles, California and requires on-site work
- The pay for this W-2 position is $41.38 per hour
- This position may be eligible for PTO, health and dental insurance, and/or 401(k) benefits upon meeting certain length of service and hours requirements.
