Job Summary
The Legal Assistant/Office Manager is the "right hand" of the firm’s managing partner. This role manages the daily operations of the office, handles complex legal administrative tasks, and serves as the primary point of contact for clients. The ideal candidate is a proactive problem-solver who is comfortable with modern legal software and eager to leverage technology to improve firm efficiency.
Core Responsibilities
- Act as the professional "face" of the firm; manage the phone system and greet all prospective and current clients.
- Prepare, format, and proofread legal documents and correspondence.
- Execute electronic filings via Oregon Judicial Department (OJD) eFiling systems and Federal (CM/ECF) systems.
- Execute monthly client invoicing through Practice Panther; maintain meticulous logs for the Client Trust Account (IOLTA).
- Oversee daily office functions, including supply procurement, mail processing, and maintaining the firm’s digital filing network.
- Assist the Managing Partner, Associate Attorney, and Paralegal with scheduling, document production, and general administrative needs.
Schedule
- Monday to Friday
- 8:00 AM – 5:00 PM (Closed for lunch hour)
Qualifications & Skills
- Required: Proficiency in Microsoft Office 365 (Advanced MS Word formatting is a must).
- Required: Experience with Practice Panther or similar law practice management software.
- Preferred: Experience with the Oregon Judicial Department eFiling system.
- Preferred: Familiarity with Zoom Phone or cloud-based VOIP systems.
- Attributes: Exceptional attention to detail, ability to handle sensitive client information with discretion, and a "self-starter" mentality.
