Our client, a New Jersey based 501(c)(3) organization, is searching for an Accounting Manager due to a future retirement. They are targeting a start date of April 1, 2026They have a budget of about $3 million and the Accounting Manager is responsible for overseeing all financial operations, including accounts payable, accounts receivable, contract negotiations, procurement, and financial reporting. This role ensures the organization’s financial stability through diligent management of budgets, bank accounts (checking, money market, and certificates of deposit), and day-to-day financial activities. In addition to financial responsibilities, the Accounting Manager coordinates procurement and provides administrative and logistical support for internal meetings, conferences, and student events. The Accounting Manager reports directly to the President and plays a critical role in supporting the administrative, fiscal, and operational needs of the organization. Key Responsibilities: Financial Management and Oversight: • Manage cash receipts, AP, and AR • Prepare and issue invoices, track outstanding balances, and collaborate with clients and partners to resolve unpaid accounts. • Execute petty cash operations • Collaborate with the President to prepare and monitor annual budgets, ensuring alignment with organizational goals. • Prepare quarterly statements of financial position, statements of activities, and other financial reports for internal and external stakeholders. • Prepare accurate and timely financial reports with required supporting documentation for state, private, and corporate grants, ensuring compliance with grantor requirements and performing monthly or quarterly expenditure reconciliations as required. • Ensure timely filing of all required tax returns, business certifications, and 1099 forms, maintaining compliance with regulatory requirements. • Coordinate and manage the annual audit, ensuring compliance with all regulatory and reporting requirements. • Provide fiduciary oversight of bank accounts, including monitoring daily banking activities, ACH transfers, incoming grant funding, and monthly bank reconciliations. • Contract Negotiation and Procurement: • Lead contract negotiations with vendors, suppliers, and partners • Manage the procurement of supplies and services • Develop and maintain strong vendor relationships. Administrative and Conference Support: • Coordinate and schedule internal meetings, specialist team meetings, and staff events, ensuring efficient communication and scheduling. Provide administrative support ensuring smooth daily operations and timely internal communication. • Coordinate logistics for conferences, including registration, travel arrangements, and venue coordination. • Oversee the planning and execution of conferences, ensuring seamless operations and positive attendee experiences. • Key Competencies • Financial Acumen: Strong understanding of nonprofit financial management, budgeting, grant reporting, and compliance. • Attention to Detail: Demonstrated ability to maintain accurate financial records and thorough documentation. • Administrative Expertise: Strong organizational skills with the ability to manage multiple priorities and deadlines. • Communication Skills: Clear and professional written and verbal communication with internal and external stakeholders. • Negotiation Skills: Proven ability to negotiate contracts and manage vendor relationships effectively. YOU might be the right person if YOU have: A Bachelor’s degree in Accounting, Finance, Business Administration, or a related field. • A Minimum of 3–5 years of experience in accounting or financial management, within a nonprofit organization. • Demonstrated experience managing AP and AR, financial reporting, audits, and grant-funded programs. • Proficiency in Microsoft Office applications, including Excel, and QuickBooks online for non-profits.
