Responsibilities
Primary Function:
The Procurement Coordinator is responsible to support regional procurement activity regarding supplier/subcontractor registrations and qualifications, RFP support, procurement transactions, and other procurement functions & processes throughout region.
Major Job Elements:
- Support and maintain supplier portal database (Bravo) by initiating, tracking and monitoring supplier/subcontractor qualifications including the following:
- Action new supplier requests from region,
- Work with suppliers and subcontractors to gather their credentials,
- Ensure and verify data provided,
- Initiate work flow within Bravo,
- Maintain progress status and follow up on any issues until completed,
- Monitor and ensure valid data for existing suppliers, including applicable expirations
- Answer questions as needed from both internal and external customers.
- Support and maintain ISNetworld subcontractor site
- Initiate invitations with subcontractors
- Monitor and manage existing subcontractor ratings
- Drive resolution of discrepancies or issues with all necessary partie
- RFP and Project-Specific Support
- Participate in Project/Operations/PMO meetings for the RFP such as bid kickoff, bid status, subcontractor selection, bid reviews and project kickoffs.
- Identify Proc deliverables on the compliance matrix, action accordingly, provide status updates, and track through completion
- Modify RFP template as needed to meet requirements
- Identify and suggest alternative sources
- Send out RFP’s to subcontractors and suppliers – tracking all responses and deliverables through completion
- Liaise between Estimating, Operations and the suppliers/subcontractors as necessary
- Relay appropriate responses to proposal team
- Analyze and compare commercial portion of quotes
- Maintain PSR (Procurement Status Report) for documentation of entire process
- Enter and manager Purchase Orders for OH transactions
- Seek alternative sources for new projects, new locations, new requirements (DBE, ISN, etc.)
- Maintain clear documentation and audit trail of all procurement activities.
- Suggest ideas for improvements; develop and implement with approval as applicable.
Qualifications
Education, Qualifications and Skills Requirements:
- Education Minimum: High School Graduate
- 1-2 years preferred demonstrated experience in administrative support and business environment. (experience with procurement and subcontractor practices preferred.)
- Demonstrates accuracy, attention to detail and is well-organized
- Ability to effectively plan, organize, prioritize, and multi-task work assignments, with consistent follow through
- Adapts quickly and easily to changing priorities
- Team player who works productively with wide range of people, departments and skillsets
- Comfortable in fast-paced environment
- Capable of following verbal and written instructions and documented procedures
- Works well in a team environment as well as independently
- Ability to recognize and meet deadlines
- Excellent communicator (verbal and written), exhibits interpersonal and customer service skills in the daily execution of key functions while coordinating with all areas and levels within the region.
- Proficiency at intermediate level using Microsoft Windows - Excel, Outlook, Word, Outlook, PowerPoint and Access.
- Proactive and results oriented, with demonstrated positive attitude and team work demeanor
