Responsibilities
- Manage front desk duties, including greeting visitors and handling multi-line phone systems with professionalism and courtesy
- Perform data entry, filing, and document proofreading to ensure accuracy and organization
- Utilize Microsoft Office Suite and Google Workspace for document creation, editing, and communication
- Coordinate calendar management and appointment scheduling for team members and clients
- Provide customer support via phone and email, maintaining excellent phone etiquette and customer service standards
- Handle office management tasks such as supply inventory, mail distribution, and record keeping
- Assist with bookkeeping using QuickBooks or similar accounting software as needed
- Support administrative projects including typing reports, organizing files, and supporting office operations with clerical experience
- Maintain organizational systems to improve efficiency and workflow within the office environment
Requirements
- Proven experience in office management, clerical work, or administrative support roles
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and data entry skills
- Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment
- Bilingual abilities are preferred to assist diverse client needs effectively
- Experience with QuickBooks or bookkeeping is a plus
- Exceptional customer service skills with professional phone etiquette and support experience in medical or dental reception is advantageous
- Strong proofreading, typing speed, and time management skills
- Previous experience as a receptionist or personal assistant is beneficial
- Ability to handle confidential information discreetly and maintain professionalism at all times
