Duties

  • Manage front desk responsibilities, greeting visitors and directing them appropriately with professionalism and courtesy
  • Operate multi-line phone systems, handle incoming calls, screen inquiries, and route messages efficiently
  • Maintain accurate data entry using computer skills, including Microsoft Office, Google Workspace, and specialized software like QuickBooks for bookkeeping tasks
  • Organize and file documents systematically, ensuring easy retrieval and confidentiality of sensitive information
  • Support calendar management by scheduling appointments, meetings, and coordinating events with attention to detail
  • Provide exceptional customer service by addressing inquiries promptly and supporting client needs with a friendly attitude
  • Assist with clerical tasks such as proofreading documents, preparing correspondence, and managing office supplies
  • Perform general office management duties to streamline daily operations and enhance overall productivity

Experience

  • Previous office experience in administrative or clerical roles is required, ideally within a healthcare or professional services environment such as dental or medical receptionists
  • Proven proficiency with computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and data entry tools
  • Experience handling multi-line phone systems and practicing phone etiquette in a busy office setting
  • Bilingual skills are preferred to support diverse client interactions effectively
  • Demonstrated organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
  • Knowledge of bookkeeping or basic accounting software like QuickBooks is advantageous for handling financial records
  • Personal assistant experience or familiarity with calendar management enhances your suitability for this role
