BASIC FUNCTION:
This individual is the first line of communication with outpatient patients and therefore is responsible for receptionist and clerical duties. This individual is responsible for answering incoming phone calls, greeting visitors, and various general office duties. Work is performed with considerable independence in accordance with established regulations, policies and procedures in a coordinated effort with the Billing Supervisor. The individual must be crossed trained in billing and producing reports as they relate to an outpatient facility. This individual participates with other employees in admissions and inpatient referral activities.
ESSENTIAL FUNCTIONS:
1. Greets all patients and visitors in a cordial and professional manner while ensuring that each patient or visitor signs into the facility according to established policy and procedures.
2. Answers phones in a professional, courteous phone manner.
3. Records and delivers accurate messages.
4. Addresses patients regarding collections.
5. Schedules appointments using EHR (Electronic Health Records) software.
6. Checks in groups, collects payments, records all services rendered on facility roster, assists new patients with paperwork, verifies that necessary services are in EHR, updates Administrator on incomplete counselor tasks, and updates all services rendered in EHR.
7. Makes up new charts, be sure new patients are entered in NJSAMS (New Jersey Substance Abuse Monitoring System) and agency’s EHR, prepare ‘Patient Services-Clinical Note-Billing Log’ regularly.
8. Coordinates prior authorizations and other duties with the IME (Interim Managing Entity).
9. Ensures that all patient demographic and payer information is captured accurately at intake to support clean claims.
10. Ensures the timely securing and renewal of prior authorizations for outpatient behavioral health and SUD services, including concurrent reviews when required.
11. Partners with clinical and utilization review teams to ensure alignment on payer requirements and documentation needs.
12. Supports a welcome and trauma-informed patient intake experience aligned with behavioral health best practices.
13. Responsible for weekly and monthly billing of services rendered for all patients to all payors.
14. Prepares and submits appropriate billing reports to the Finance Department on a regular basis.
15. Reviews, assesses, and evaluates all billing errors.
16. Responsible for keeping all forms stocked and making copies.
17. Ensures the waiting area is neat and clean.
18. Communicates with counselors regarding group attendance (no shows or excused), scheduled appointments, patients with financial issues, recording of UDS (Urine Drug Screen) and results, and funding authorizations and limitations.
19. Performs other related duties and responsibilities as assigned.
QUALIFICATIONS:
Required Knowledge, Skill and Abilities
- Must have excellent customer service skills with staff and patients. Ability to express oneself clearly to both staff and patients in a professional manner.
- Excellent phone etiquette, verbal communication, and listening skills is required.
- Must be detail oriented with a focus on quality and accuracy with documentation. Familiar with computers, general software programs, and Microsoft Office programs (i.e., Outlook, Word, and Excel).
- Ability to establish and maintain effective and strong working relationships with patients, members of staff, outside agencies, institutions and the general public.
- Must have good conflict resolution skills with the ability to de-escalate tense situations, as needed.
- May need to provide flexibility on occasion with scheduling of shifts to assist with coverage.
Minimum Requirement
Education: High school diploma or GED is required.
Experience: Minimum one (1) year of prior administrative experience working in a medical office setting is required. Experience in an Addictions environment helpful, but not required. Minimum one (1) year of authorization billing experience is required.
Sobriety: If recovering, must have at least two (2) years of continuous sobriety and maintain sobriety throughout employment.
Schedule: Monday-Thursday 11:30am-7:30pm, Friday 8am-4pm
