The Maryland Transit Administration (MTA) is currently seeking qualified candidate for the position of Transportation Office Coordinator(TE). This position provides clerical and administrative support to the Metro Transportation Division supporting the daily operations of the office by coordinating calendars, scheduling meetings, preparing routine correspondence, maintaining files and records, processing office access requests, distributing mail, ordering office and mailroom supplies, and providing general administrative support to Transportation management and staff.

Key Responsibilities

  • Coordinates calendars for Transportation management by scheduling meetings, managing appointments, resolving scheduling conflicts, preparing meeting invitations, and maintaining accurate calendars to support daily operations.
  • Prepares, formats, proofreads, and distributes routine correspondence, reports, meeting agendas, memorandums, spreadsheets, and other administrative documents using standard office software and established departmental procedures.
  • Maintains electronic and paper filing systems by organizing, updating, retrieving, and retaining records and documents to ensure accurate recordkeeping and efficient access to information.
  • Coordinates office administrative activities by processing office access requests, assisting with employee onboarding logistics, maintaining administrative records, and supporting day-to-day office operations.
  • Receives, sorts, distributes, and prepares incoming and outgoing mail, packages, and deliveries while maintaining mailroom supplies and ensuring timely distribution of correspondence.
  • Orders, receives, inventories, and maintains office and mailroom supplies by monitoring stock levels, preparing supply requests, and ensuring materials are available to support office operations.
  • Serves as the primary administrative point of contact by answering telephone calls, greeting visitors, responding to routine inquiries, and directing requests to the appropriate personnel.
  • Provides general clerical and administrative support, including copying, scanning, filing, maintaining office records, and assisting management with special administrative project as assigned.

Qualifications

Education: Graduation from an accredited high school or possession of a high school equivalency certificate (GED).

Experience: Two years of experience performing administrative, clerical, office support, or customer service duties in an office environment.

Preferred Experience

  • Experience scheduling meetings and maintaining calendars.
  • Experience preparing correspondence, reports, or other office documents.
  • Experience maintaining electronic and paper filing systems.
  • Experience answering phones, greeting visitors, and responding to inquiries.
  • Experience using Microsoft Office Suite (Word, Excel, Outlook, and Teams).
  • Experience ordering office supplies and supporting day-to-day office operations.

Licenses & Certifications

Employees in this classification may be assigned duties which require the operation of a motor vehicle. Employees assigned such duties will be required to possess a motor vehicle operator's license valid in the State of Maryland.
