What are the responsibilities and job description for the Receptionist Supervisor position at MARY WADE HOME?
Mary Wade is seeking an experienced Receptionist Supervisor to receives and directs callers to appropriate destination, performs clerical functions independently and proactively and maintains a high level of security for the building.
Schedule: Monday to Friday: 8:00 am to 4:00 pm. Ability to come in early, stay later or weekends when needed when there are callouts and coverage cannot be found.
Hourly Rates Ranges: $20.00 to $23.00 (commensurate with experience)
Qualifications:
- Previous supervisory experience and/or knowledge of the senior retirement community or healthcare setting is required
- Ability to analyze information, solve problems, and make sound decisions
- Sensitivity to the needs of the elderly in a healthcare setting.
- Ability to perform repetitive tasks.
- Typing skills and computer knowledge.
- Prior MS Office experience, including Word and Excel.
- Compiles with and promotes all rules regarding residents’ rights.
- Demonstrates cooperation and teamwork with peers and other departments.
- Contributes to meeting the fluctuating staffing needs of the department as evidenced by flexibility in own assignments and work schedules.
- Attends all mandatory education and in-service programs as indicated by attendance records.
- Engages in positive customer service interaction with residents, families and visitors.
- Takes ownership of an error in delivery of service and works to correct the problem.
- Displays good attendance and is punctual.

We have 94 beds, 3 shifts, every other weekend rotations and shift differentials. Additional training and support is always available.

Responsibilities:
- Communicates with and educates Security and Front Desk Staff on changes to work flow; special tasks and other important information
- Answer telephone; deliver messages to residents, etc., as necessary.
- Welcomes all visitors; ensures use of Accushield for visitor registration including nametag printing; ensures visitors wear nametag; ensures adherence to covid infection control practices upon entering the building.
- Ensures the accuracy of resident data in Accushield on a daily basis; reports any system or software issues to Vice President of Mary Wade Healthcare immediately.
- Oversees the inflow, outflow, and internal delivery of mail for staff and residents
- Receives packages; ensures packages are delivered to appropriate person/department
- Deliver mail, flowers, etc., to residents as necessary.
- Ensure that visitors feel welcome by directing them to resident rooms, office areas, etc., as necessary.
- Create and maintain an atmosphere of warmth, personal interest and positive emphasis, as well as a calm environment in the lobby at all times.
- Answers phone in a timely manner; directs calls, assists callers, provides information.
- Directs all lobby traffic, i.e. residents returning, EMTs picking up residents, guests arriving for meetings; vendors and contract workers, residents assembling for out trips.
- Provides administrative support to department heads and Clinical Administrative Assistant as needed.
