Marvista is seeking a detail-oriented Bookkeeper / Accounts Payable Specialist to support both our growing construction company and our residential property management business. This position is responsible for managing accounts payable, maintaining accurate financial records, supporting tenant accounting, and ensuring day-to-day bookkeeping is completed accurately and on time.
Responsibilities
Accounts Payable & Bookkeeping
- Process vendor invoices and manage the full accounts payable cycle
- Prepare and process vendor payments
- Reconcile bank accounts and credit cards
- Enter bills accurately and code expenses appropriately
- Match invoices to purchase orders and supporting documentation
- Maintain organized digital accounting records
- Assist with month-end reconciliations and financial close
- Prepare vendor 1099 information and maintain W-9s
- Maintain complete and accurate vendor records, including contact information, insurance certificates, and payment terms
Property Management Accounting
- Post rent, utility, late fees, and other tenant charges to tenant ledgers
- Ensure recurring charges are accurate and entered on time
- Allocate and post utility bill-backs to tenant accounts
- Answer tenant questions related to account balances, charges, payments, and other financial matters
- Research and resolve tenant account discrepancies
- Assist with security deposit accounting and move-out charges
- Work closely with the property management team to ensure tenant ledgers remain accurate
QualificationsRequired
- 2 years of bookkeeping or accounts payable experience
- Strong QuickBooks Online experience (required)
- Excellent organizational skills and attention to detail
- Strong communication and customer service skills
- Proficiency in Microsoft Excel/Google Sheets
- Ability to manage multiple priorities while maintaining accuracy
Preferred but not required
- Experience with Buildertrend
- Experience with property management software (Buildium preferred)
- Understanding of job costing and purchase order workflows
