Role Description
The Secretary and Administrative Assistant role is a full-time, on-site position based in Southfield, MI. This role includes managing phone calls, emails, and in-person inquiries, as well as scheduling and confirming appointments and coordinating job calendars for painting and home improvement projects. The Secretary will maintain organized paper and electronic records, enter information into databases, prepare basic documents, reports, and meeting notes, and support company leadership with administrative tasks. Daily responsibilities also involve greeting visitors, assisting with customer estimates and follow-ups, coordinating communication between field crews and the office, collecting and recording payments, preparing and mailing checks, processing basic payroll and timekeeping information, ordering and distributing office supplies, and operating office equipment such as copier, phone, and computer. The role requires consistent attention to detail, professionalism, and a strong focus on customer service.
Qualifications
- Strong clerical skills, including filing, data entry, document preparation, and managing paper and electronic records.
- Effective communication skills for phone, email, and in-person interactions, and for directing callers and visitors to the right person.
- Proven customer service skills and a client-focused approach.
- Proficiency with office software, including email, word processing, spreadsheets, databases, and scheduling tools.
