POSITION SUMMARY
Under the oversight and supervision of the Manager of Contracts, the Contracts Specialist is responsible for a wide variety of contracting duties, including drafting and revising contracts, addendums, and amendments for all clinical and non-clinical contracts with exception of managed care agreements. Serves as liaison between hospital staff and legal counsel in an effort to facilitate the contract process. This position is also responsible for preparing reports, maintaining contract records, and monitoring timelines, key performance indicators, and assist with contract related duties as required.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Responsible for coordination of contracts including the drafting, reviewing, and revising contracts, as well as implementing systems and using software designed to ensure accurate tracking and recordkeeping consistent with organization guidelines and objectives as assigned
- Manage timelines related to contracts, including deadlines for renewals and revisions to contracts when approaching expiration
- Ensure that insurance requirements are met, and internal processes and records are maintained
- Train staff on contract approval process and procedures
- Assist with analyses of proposed and existing contracts and implement recommendations
- Develop and maintain body of contract templates, playbooks and processes
- Coordinate with Materials Management and Accounting Departments to assure that expenses related to major vendor contracts are properly classified and reported
- Assists with monitoring internal controls and department emails. Responds as appropriate or needed particularly in the absence of the Manager of Contracts
- Provide on-going assistance to staff on contract issues
- Gather and prepare all contracts and related documents for site visits and audits performed by regulatory agencies and other external parties
- Maintain professionalism, a high degree of personal integrity and ability to maintain confidentiality as appropriate
- Other duties as assigned
POSITION REQUIREMENTS
A. Education
- Bachelor Degree degree required, Candidates with five (3) years of experience in contracts/negotiations will be considered in lieu of degree.
B. Qualifications/Experience
- Two (2) years of experience with contracts or similar required.
- Healthcare and/or Hospital experience preferred
C. Special Skills/Knowledge
- Strong organizational skills; ability to balance variety of completing tasks while meeting deadlines
- Able to keep complex records and prepare reports
- Excellent interpersonal skills; comfortable dealing with a large span of people
- Strong relationship management skills; recognizes the benefit of investing in relationships
- An excellent understanding of business ethics and the ability to keep sensitive information confidential
- Ability to take initiative, overcoming obstacles and maintaining momentum on tasks
- Strong critical thinking and problem solving skills; knows when to escalate issues and risks to upper management
- Strong communication skills – verbal, listening, written, and presentation
- Must be able to work effectively with management, administration, medical staff, nursing, and ancillary departments
- Strong technical skills (MS PowerPoint, Word, Excel, SharePoint, Project, Visio etc.)
