Job Summary:
The Senior Manager of Programs oversees all aspects of the company’s programs and projects, including planning, implementation, and evaluation. They collaborate with cross-functional teams and participants to define program goals, monitor progress, mitigate risks, manage resources, and ensure successful outcomes. The role also includes budgeting, resource allocation, and performance evaluation of program staff.
Responsibilities
Program Planning, Management, and Evaluation
- Develop, implement, and monitor program goals, service delivery plans, and performance outcomes.
- Oversee daily operations of assigned programs and ensure services align with organizational standards and funding requirements.
- Review program data, track outcomes, and prepare required reports for leadership and funders.
- Identify opportunities to improve or expand services and recommend changes based on program needs and community trends.
- Ensure accurate and timely documentation, including participant files, incident reports, and program records.
- Support the development and maintenance of effective systems, procedures, and tools that promote program quality and efficiency.
Leadership and Staff Management
- Supervise, coach, and support program Supervisors, Coordinators, staff, and volunteers.
- Assist with hiring, onboarding, training, scheduling, and performance evaluations.
- Provide regular feedback, address performance concerns, and reinforce MVK policies and expectations.
- Promote a positive work environment that supports teamwork, accountability, and professional growth.
- Review and approve timesheets, monitor productivity, and ensure appropriate staffing coverage.
- Serve as an after-hours point of contact for designated program sites when needed.
Compliance, Policies, and Training
- Ensure compliance with regulatory requirements and organizational policies.
- Design, implement, and maintain an up-to-date department training manual, including mission, goals, emergency protocols, confidentiality, reporting requirements, charting procedures, and statistical tracking requirements.
- Regularly review and update program forms, participant handbooks, and policies and procedures to ensure accuracy, relevance, and compliance.
- Attend and conduct management, departmental, and Board Committee meetings; assist in problem-solving, policy development, and program planning.
Stakeholder Engagement and Community Relations
- Develop and maintain relationships with key stakeholders, including funders, community organizations, local government staff and officials, suppliers, and vendors.
- Coordinate linkages with community and other agencies.
- Promote and support research efforts, public relations, and education, including public speaking and media liaison to highlight organizational activities.
- Assist development personnel with proposal writing to enhance program resources.
Participant Services and Operational Support
- Establish and maintain an effective internal and external customer service program; handle participant inquiries, complaints, and feedback professionally and promptly.
- Collaborate with colleagues to deliver excellent service.
- Ensure all paperwork in control areas is filed properly and maintain a functional, clean workspace.
- Perform other reasonably related business duties as assigned by management, as organizational needs evolve.
Direct Participant Support (As Needed)
- May provide emergency assessments, intervention, referrals, or case management support as needed.
Qualifications
- Bachelor’s degree in Social Work, Human Services Management, Public Administration, Business Administration, or a related field required; Master’s degree preferred.
- Minimum of two years of experience in a role closely aligned with the duties and responsibilities of this position, including program planning, implementation, and evaluation.
- Demonstrated leadership experience with the ability to supervise, motivate, and support staff.
- Proven ability to coordinate a high level of activity in fast-paced, changing environments while managing multiple priorities.
- Strong communication and interpersonal skills, with the ability to work effectively with diverse stakeholders, including at-risk populations.
- Strong analytical and problem-solving skills with experience using data to drive decision-making.
- Knowledge of program development, evaluation methodologies, and applicable laws, regulations, and funding requirements.
- Proficiency in project management software, databases, and general computer applications.
- Reliable transportation and a valid California driver’s license. Must have and maintain and acceptable driving record.
- Bilingual English/Spanish preferred.
