Role Description
This is a full-time, on-site Payroll / HR / AR Administrative Specialist role based in the Greater Sacramento area. This position is responsible for managing end-to-end payroll processing for multiple entities while also providing administrative support for Human Resources and Accounts Receivable functions. Responsibilities include preparing and validating payroll data, entering and reconciling time and attendance information, processing payroll accurately and on time, and resolving payroll discrepancies.
The role will administer payroll taxes and garnishments, coordinate with third-party payroll providers, maintain compliance with federal, state, and local regulations, and support payroll audits and reporting. In addition, the position will assist with HR functions including onboarding, employee records management, personnel documentation, benefits administration support, and general employee relations coordination.
Accounts Receivable responsibilities include assisting with invoicing, payment tracking, collections follow-up, account reconciliations, and maintaining accurate customer account records. The Payroll / HR / AR Administrative Specialist will maintain organized records across all functions, respond to employee and customer inquiries, support special projects, and collaborate closely with leadership, HR, Finance, and Operations teams to ensure accuracy, compliance, and continuous process improvement.

Qualifications
- Strong experience in Payroll Processing and Payroll Administration, including managing multi-entity or multi-state payrolls. NetSuite Exp preferred.
- Working knowledge of Payroll Taxes and related compliance requirements, with the ability to stay current on regulatory changes.
- Hands-on experience with Garnishments, including accurate calculation, setup, and tracking of deductions.
- Familiarity with Payroll Services platforms and HRIS/ERP systems, and comfort working with spreadsheets and payroll reporting tools.
- High attention to detail, strong numerical and analytical skills, and the ability to maintain confidentiality of sensitive information.
- Effective written and verbal communication skills, with a customer-focused approach to supporting employees and internal stakeholders.
- Ability to work on-site in Greater Sacramento, manage deadlines, and prioritize tasks in a fast-paced environment.
- Associate’s or Bachelor’s degree in Accounting, Finance, Business, or a related field, or equivalent practical experience; prior payroll experience in construction, energy, or related industries is a plus.
- Professional payroll certification (such as FPC or CPP) is preferred but not required.
