Position Summary
The Finance & Administrative Specialist supports the day-to-day financial operations of the agency while contributing to overall office efficiency and organization. This role plays a critical part in maintaining accurate financial records, supporting project-based accounting workflows, and ensuring alignment between purchasing, vendor costs, and client billing.
This position is primarily focused on finance and accounting responsibilities (approximately 80%), with additional support provided to administrative and office management & operations.
Reporting Relationship
This role is a key member of the Finance & Administration team and reports directly to the Controller/Director of HR.
Responsibilities include:
Accounting Operations & Financial Accuracy
• Process and code vendor invoices, ensuring accurate general ledger and job cost allocation
• Support accounts payable and accounts receivable processes, including invoice tracking, payment application, and collections monitoring
• Assist with client invoicing aligned to project timelines, budgets, and billing schedules
• Maintain accuracy of financial data including coding, dates, and expense timing
• Post cash receipts and support client payment tracking
• Monitor and manage shared accounting inbox to ensure timely processing and communication
Project Accounting, Purchasing & Billing
• Support project-based accounting workflows, including job costing and cost tracking
• Ensure alignment between purchase orders, vendor invoices, and client billing
• Assist in managing the purchasing-to-billing lifecycle across projects
• Run and review vendor and media tracking reports to ensure timely invoice follow-up and cost recognition

Reporting & Month-End Close Support
• Pull and distribute standard financial reports including Accounts Receivable Aging, Accounts Payable Aging, and Cash Receipts
• Support month-end close activities, including reconciliations and reporting preparation
• Maintain organized financial records within the accounting/project management system (Workamajig or similar)
• Utilize Microsoft Excel, including pivot tables, to analyze financial data and support reporting
• Assist with audit preparation and documentation requests
Administrative & Office Operations Support
• Support daily office operations including supply inventory and vendor coordination
• Coordinate employee and client luncheons, catering, and small internal events
• Assist with onboarding coordination and administrative recordkeeping
• Maintain a clean, organized, and professional office environment
• Greet visitors and clients as needed and maintain a professional front-office presence
• Assist with facility coordination and vendor scheduling
Required Knowledge/Skills/Experience
• 3–5 years of accounting or finance experience
• Bachelor’s degree in Accounting, Finance, or related field preferred
• Experience with project-based accounting and job costing required
• Strong understanding of purchasing workflows and client billing processes
• Proficiency in Microsoft Excel required, including pivot tables and data analysis
• Proficiency in SharePoint and Google Sheets required
• Experience with accounting or project-based systems (Workamajig or similar) preferred
• Experience in a marketing, advertising, or professional services environment strongly preferred
• Strong attention to detail and organizational skills
• Ability to manage multiple priorities and meet deadlines
• Strong communication and interpersonal skills
• Professional demeanor appropriate for a client-facing office environment
Compensation
- Salary range: $60,000 – $70,000 commensurate with experience
