Job Summary
We are seeking a highly organized and detail-oriented Office Administrator to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by managing administrative tasks, overseeing office procedures, and providing support to staff and management. This position requires strong communication skills, exceptional organizational abilities, and a proactive approach to problem-solving.

Responsibilities

  • Manage daily office operations, including clerical tasks and administrative support.
  • Oversee schedule management and calendar coordination for team members.
  • Handle vendor management and maintain positive relationships with service providers.
  • Assist with event planning and coordination for company functions and meetings.
  • Supervise office staff and provide training & development as needed.
  • Maintain accurate records through effective filing systems and bookkeeping practices.
  • Support human resources functions, including payroll processing and employee onboarding.
  • Utilize QuickBooks for budgeting and financial tracking purposes.
  • Ensure efficient front desk operations, including managing phone systems and providing excellent phone etiquette.
  • Collaborate with team members to enhance office efficiency and productivity.

Skills

  • Proven experience in office management or administrative roles.
  • Strong organizational skills with the ability to manage multiple tasks simultaneously.
  • Excellent communication skills, both verbal and written, to interact effectively with staff and clients.
  • Must be detail oriented.
  • Familiarity with office management is a plus but not required.
  • Experience in supervising and managing personnel effectively.
  • Proficient in schedule management, calendar coordination, and event planning.
  • Knowledge of bookkeeping practices and experience with QuickBooks is preferred.
  • Familiarity with Google docs, sheets and anility to learn other computer software.
