The Client Services Manager is the first point of contact for families seeking ABA therapy at Marigold Learning Academy. Responsibilities
- Answer and respond to inquiries via phone, email, and website leads
- Guide families through the intake process from first call to scheduling services
- Clearly explain ABA services, programs, and next steps
- Verify insurance benefits (VOB) and manage intake documentation
- Enter and maintain accurate records in CRM and EMR systems
- Coordinate scheduling with clinical staff
- Oversee daily front office operations and administrative workflows
- Maintain timely, warm, and professional communication with families
- Support referral relationships and inbound client growth efforts
- Ensure HIPAA compliance and confidentiality at all times
Skills
- 2 years experience in client services, intake, office management, or healthcare administration
- Strong verbal and written communication skills
- Professional, friendly phone presence
- Excellent organization and multitasking skills
- High attention to detail and follow-through
- Proficient with Microsoft Office; CRM/EMR experience preferred (Salesforce a plus)
- Ability to work independently with minimal supervision
- Healthcare or behavioral health experience strongly preferred
- Bilingual (Spanish/English) is a PLUS
- High School Diploma required; College Degree preferred
