Job Summary
This position is responsible for coordinating, administering, and implementing academic advisement services within the Veterans Services department. It encompasses operational planning, program management, and direct delivery of student support through a case management model. The incumbent advises active duty, veteran, and veteran-dependent students on academic goal setting, degree and certificate options, guided transfer pathways, course selection, testing, registration, and satisfactory academic progress utilizing PeopleSoft (SIS) with guidance on GI Bill benefits, program eligibility and approvals, and specialized Veterans Affairs programs such as Veterans Retraining and Employment, STEM Scholarship, VRRAP, Vet Tech, and Tutorial Assistance. The role also involves the development and implementation of cross-college training initiatives designed to support integrated student support and retention services. The position requires collaboration with faculty, staff, and district personnel to enhance student academic persistence, retention, and completion rates through established and emerging retention programs. Serving as a liaison between students and external state and federal agencies, the incumbent ensures effective communication of regulatory updates and maintains current knowledge of policies issued by the Department of Veteran Services, Department of Education, Department of Defense, and the Arizona Department of Veteran Services’ State Approving Agency.
As the lead School Certifying Official (SCO), the incumbent oversees the certification and submission of enrollment information to the Department of Veterans Affairs, ensures compliance with applicable federal, state, and local laws and regulations by monitoring financial data, and evaluates student eligibility for federal and state programs. The position also entails planning, organizing, and supervising the work of part-time staff and VA work-study employees.
Essential Functions
30% Serves as a VA school certifying official submitting enrollment information and enrollment changes to the Department of Veteran Affairs per government guidelines. Guide students on how to successfully utilize their educational benefits by explaining the impacts of withdrawal, grades, veteran SAP, graduation, prior education evaluations, etc.
10% Conducts training for part time and work studies as it relates to day to day policies and procedures with the VA enrollment certification process. Coordinates daily office work flow and provides work direction to part-time or work study students as needed.
10% Interprets and explains college and Maricopa Community College District policies and procedures related to admissions, curriculum, advising, student success, and degree completion. Handles immediate or sensitive issues requiring confidentiality or quality assurance. Escalates matters requiring senior leadership intervention.
10% Other duties as assigned
Minimum Qualifications
Bachelor’s Degree from a regionally accredited institution and two (2) years of student services or college teaching experience, or experience coordinating, administering, planning, or evaluating programs.
OR
An equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation.
Desired Qualifications
A. Bachelor's degree or higher in Education, Sociology, Social Work, Psychology, Counseling, Business, or Related Field
B. One (1) or more years of experience providing academic advising in a college or university setting
C. One (1) or more years of experience as a School Certifying Official (SCO) working with the Department of Veteran Affairs in a college or university setting
D. One (1) or more years of experience working with state or federal agencies in a compliance related position focused on regulatory reviews or audits
E. Experience using online student databases (i.e. Peoplesoft, Canvas, Banner)
F. Experience working with diverse populations (such as Veterans, Multicultural, International)
Special Working Conditions
Work schedule varies during the year: August through mid-May: Monday - Friday, 8 hour days; mid-May through the end of July: Monday - Thursday, 10 hour days
May require working evening and weekend hours (example: Saturday coverage during peak weeks)
This position is fully on-site, with no remote options
Required to sit for a prolonged period of time; viewing a computer monitor
May be required to travel or be assigned to another MCCD location
