Position Summary
We are seeking a professional, friendly, organized, and motivated Receptionist & Community Outreach Coordinator to serve as a primary point of contact for our office. This position will support front-office operations, client communication, scheduling, insurance verification, community outreach, referral relationship development.
The ideal candidate is dependable, detail-oriented, comfortable communicating with both individuals and professional organizations, and able to represent the company in a positive and professional manner.
Essential Responsibilities
Front Office & Client Relations
- Answer incoming phone calls professionally and courteously.
- Return client calls and voicemail messages.
- Make outbound calls to prospective and existing clients.
- Monitor the office phone line throughout the workday.
- Monitor the office email inbox and respond to emails professionally and promptly.
- Schedule, reschedule, and confirm appointments.
- Confirm appointments at least one business day prior to the scheduled appointment.
- Ensure required intake paperwork is completed, signed, and dated prior to appointments.
- Maintain professional and courteous communication with clients, facilities, professional offices, and community partners.
- Maintain confidentiality and follow applicable privacy requirements.
Insurance & Administrative Support
- Verify insurance eligibility and benefits.
- Obtain referrals, authorizations, and other required documentation when applicable.
- Prepare, send, receive, and monitor faxes daily.
- Maintain accurate records and documentation.
- Scan, upload, organize, and maintain documents as needed.
Community Outreach & Relationship Development
- Establish and maintain professional relationships with healthcare providers, professional offices, organizations, and community resources.
- Conduct outreach to develop and strengthen referral relationships.
- Represent the company at health fairs, wellness events, networking opportunities, and community outreach activities. (~1x/month)
- Assist with preparation, setup, and follow-up related to community events.
- Professionally represent the company and its services within the community.
Social Media
- Assist with creating and scheduling social media content.
- Assist with content creation for various social media platforms.
- Participate in videos and other promotional content when needed.
- Assist with basic flyers and marketing initiatives using Canva, when needed.
- Maintain a professional and positive online presence when representing the company.
Other Responsibilities
- Support daily office operations and organization.
- Assist with special projects and business development initiatives.
- Attend required meetings and training.
- Perform other job duties and responsibilities as assigned by the supervisor or person responsible for office operations.
Required Qualifications
- High school diploma or equivalent.
- Bilingual in English and Spanish, with the ability to read, write, and speak proficiently in both languages.
- Excellent verbal and written communication skills.
- Strong customer service and interpersonal skills.
- Excellent organization and documentation skills.
- Ability to manage multiple tasks and priorities.
- Strong attention to detail.
- Comfortable communicating by phone, email, and in person.
- Computer proficiency.

- Reliable transportation to attend work, community events, and outreach activities.
Preferred Qualifications (NOT REQUIRED)
- Previous experience in receptionist, administrative, customer service, or office coordination roles.
- Experience with insurance verification or administrative processes.
- Experience with electronic records or scheduling systems.
- Experience with social media platforms and content creation.
- Experience using Canva for basic marketing materials.
- Experience in healthcare and wellness settings.
- Experience with community outreach, networking, or referral relationship development.
Schedule
- Part-Time: 25 hours per week (9 AM-3PM)
- Occasional Saturday work may be required for phone outreach, client scheduling, confirmations, follow-up communication, or special assignments.
- Additional hours may be available for special assignments, community events, marketing initiatives, and business needs.
