We are seeking a highly organized and motivated Legal Administrative Assistant to support our Family Law attorneys and paralegals and help ensure the smooth day-to-day operation of our office. This role is ideal for someone who is detail-oriented, proactive, and enjoys working in a collaborative team environment.
We’re a Monday through Friday, 9:00am-5:00pm office and believe in a work life balance. No billable requirements and there are no requirements to have work email on your phone.
As a Legal Administrative Assistant in our Family Law practice area, you will play a key role in supporting our attorneys, paralegals, and clients. This position requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced legal environment.
Key Responsibilities
Client Communication
- Serve as a primary point of contact for clients, answering phone calls and managing email correspondence.
- Communicate with clients regarding scheduling, documents, and general case updates as directed by the attorney or paralegal.
Scheduling & Calendar Management
- Coordinate and confirm client appointments, consultations, and meetings.
- Schedule hearings, depositions, mediations, and meetings with opposing counsel.
- Maintain attorney calendars and track important case deadlines, including discovery and trial dates.
Document Preparation
- Assist with the preparation, proofreading, and formatting of legal documents.
- Assist with trial preparation, including organizing exhibits and materials.
- Prepare documents for court filing, including hearing notices, mediation notices, deposition notices, and notices of filing.
File & Case Management
- Organize and maintain both electronic and physical case files.
- Scan and save all incoming mail and documents into our document management software.
- Save and maintain email correspondence between attorneys, paralegals, and opposing counsel.
- Update and track case lists, trial lists, and file closings.
Court Filings
- Manage e-filing and paper filing of legal documents with the court.
- Ensure all filings meet court requirements and deadlines.
Administrative Support
- Perform general office duties such as copying, scanning, faxing and managing incoming and outgoing mail.
- Process invoices related to subpoenas, document requests, deposition transcripts, and similar case expenses.
Qualifications:
- Experience: Minimum of 1-2 years of experience in a law firm preferred, with Family Law experience considered a plus.
- Education: Associate’s degree or some college is preferred; a high school diploma or equivalent is required.
- Skills: Strong organizational and time management skills. Excellent written and verbal communication abilities. Proficiency in Microsoft Office Suite (Word, Excel, Outlook). Familiarity with Family Law procedures and court requirements. Ability to handle sensitive information with discretion and professionalism. A strong sense of ownership and urgency in managing tasks and deadlines is a must.
- Certification: NC notary is a plus.
- Work Ethic: Detail-oriented with the ability to prioritize tasks and manage deadlines in a fast-paced environment.
