What are the responsibilities and job description for the School Year Secretary position at Mapleshade School?
The Role: Mapleshade Elementary School is seeking applications for the position of Secretary. The Secretary is the front-facing position of a 3-5 elementary school that operates within the conditions set forth in the district’s school-year secretary contract. The primary responsibilities for this position include but are not limited to:
● Manage daily front office operations, including secure monitoring of school entrance, greeting visitors and vendors, answering phones, and providing support to students and staff.
● Oversee the student loaner Chromebook program, including check-out/check-in procedures and inventory tracking. Troubleshoot technological issues for students and staff.
● Generate and maintain daily reports using PowerSchool, Google Workspace (Sheets, Docs), and SmartFind Express; manage daily student attendance and lunch count, manage class lists, issue report cards, send school-wide messages to parents
● Provide confidential administrative support to the Principal, assisting with a variety of operational and organizational tasks.
● Schedule the annual picture day with the photography company and create a schedule for the students
● Schedule services required by the school: shredding, extermination, etc.
● Receive, review, and submit new hire “daily substitute” HR forms to the Central Office, ensuring accuracy and timeliness.
● Manage petty cash, including replenishment, tracking, and processing staff reimbursements for supply purchases.
● Coordinate field trip logistics, including organizing paperwork, determining per-student costs, managing deposits and checks, and ensuring timely payments to transportation providers and venues, ensuring chaperones have CORI checks completed.
● Collaborate with the PTO on field trips, fundraising initiatives, and specific teacher support needs.
● Process weekly payroll for approximately 55 staff members and track daily substitute coverage using Google Sheets. Record and Process absence paperwork.
● Manage annual and ongoing school supply orders by preparing, organizing, and entering requisitions/purchase orders into the Munis accounting system.
● Maintain and reconcile People’s Bank student activity and school checking accounts on a monthly basis.
● Create warrants for the town treasurer
● Prepare and update school forms and administrative documents at the start of each academic year.
● Handle fax communications through WestFax, ensuring secure and accurate document transmission.
● Onboard new students by issuing individual Chromebooks and school ID badges.
● Coordinate teacher classroom coverage for professional development days, IEP meetings, parent conferences, and ACT meetings.
● Maintain the school website and multiple calendars for both the public and for the school and meeting spaces
● Work with students and the principal to maintain social media accounts
● Prepare the morning announcements and schedule/deliver the announcements with students daily
● Work additional summer hours to prepare for the new school year
● Complete additional assignments, responsibilities, expectations and initiatives provided by the building principal

Salary: Per Contract 26-27 School Year $24.07-$28.24/hr.
