Job Summary
We are seeking a professional and detail-oriented Dental Receptionist to join our dental practice. The ideal candidate will serve as the first point of contact for patients, providing exceptional customer service while managing administrative tasks efficiently. This role requires a strong understanding of dental terminology, medical billing, and office management systems to ensure smooth daily operations and accurate record-keeping. Experience with various EMR systems such as Eaglesoft, Dentrix, or Meditech is highly preferred. The Dental Receptionist plays a vital role in maintaining compliance with HIPAA regulations and supporting the overall patient experience.
Duties
- Greet patients warmly and professionally, managing multi-line phone systems with excellent phone etiquette
- Schedule appointments using dental office management software such as Softdent or Dentrix
- Verify insurance coverage and perform insurance verification processes accurately
- Collect payments and handle medical collections with attention to detail
- Manage patient records, ensuring proper documentation review and data entry in EMR/EHR systems including Epic, Meditech, Athenahealth, eClinicalWorks, and others
- Assist with intake procedures, including patient registration and updating medical histories
- Maintain accurate documentation for care plans, CPT coding, ICD-9/10 coding, and medical billing processes
- Ensure compliance with HIPAA regulations by safeguarding patient information and managing health information securely
- Support front desk operations by managing appointment confirmations, cancellations, and rescheduling
- Perform clerical duties such as filing, data entry (including 10 key typing), and maintaining organized medical records
- Collaborate with clinical staff to facilitate smooth clinic operations and patient flow
Skills
- Proven experience in a medical or dental office environment with strong knowledge of dental terminology and medical coding (ICD-10/ICD-9/CPT)
- Proficiency in EMR/EHR systems such as SoftDent, Dentrix, Meditech, Epic, Athenahealth, eClinicalWorks or similar platforms
- Excellent customer service skills with professional phone etiquette.
- Strong computer skills including Microsoft Office Suite (Word, Excel) and health information management software
- Ability to manage multiple tasks efficiently in a fast-paced environment while maintaining attention to detail
- Familiarity with insurance verification processes and medical billing procedures
- Knowledge of HIPAA compliance standards and healthcare documentation requirements
- Previous clinic or dental office experience highly desirable; familiarity with dental terminology and office management practices is a plus
- Strong organizational skills with the ability to review documentation thoroughly and support administrative functions effectively
