Position Summary
Seeking an Order Entry Processor to support order processing and customer service operations within a fast-paced product and manufacturing environment. This individual will be responsible for entering and managing orders accurately and efficiently within the company’s ERP system. The position works closely with Engineering, Sales, Manufacturing, and Shipping teams to help ensure accuracy, timely order processing, and responsive customer support. Exceptional attention to detail, time management, teamwork, and communication skills are essential for this role. The ideal candidate will thrive in a fast-paced, deadline-driven environment and demonstrate a strong sense of ownership and accountability.
This is a 3–6-month contract position with the potential to convert to full-time based on business needs and performance.
Key Responsibilities
Quote-to-Order Review
- Receive and review quotes converted to orders.
- Identify parts not currently available in the system and communicate with Engineering regarding required updates.
Order Processing
- Create bills of materials from generic BOMs using the company’s ERP system.
- Process orders and related documentation to meet required ship dates.
- Attach production PDFs and/or installation drawings to each order.
- Ensure accurate and complete documentation is provided by Sales and Design.
- Follow up with Engineering to help ensure projects remain on schedule.
- Confirm order-entry details, including order value and shipping information.
Customer Service Support
- Handle customer service phone calls and emails promptly and professionally.
- Update the Customer Service Log with relevant interactions and issue resolutions.
- Enter and manage replacement orders, including required corrective-action documentation.
- Manage Return Goods Authorizations (RGAs) in coordination with other departments.
- Inspect replacement orders prior to packing/shipping to help ensure accuracy and quality.
- Collaborate across departments and with clients to troubleshoot and resolve issues.
Logistics & Scheduling
- Prioritize and coordinate shipping schedules as needed.
- Adjust ship dates at the request of clients through appropriate approval channels.
- Support order tracking and ensure timely communication regarding delivery status.
Administrative Support
- Log, scan, and file orders and related documentation following shipment.
- Enter orders in a timely and accurate manner.
- Provide engineering support and service backup when needed.
- Flag order-entry items that may negatively impact gross margins.
Qualifications
- High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.
- 2 years of experience in order processing, customer service, or logistics.
- Proficiency with order-management systems, ERP software such as SAP, NetSuite, Oracle, or similar systems, and Microsoft Office.
- Strong organizational skills and attention to detail.
- Excellent verbal and written communication skills.
- Ability to multitask and effectively manage time in a deadline-driven environment.
- Problem-solving mindset and collaborative approach to teamwork.
Preferred Qualifications
- Experience with international shipping or EDI (Electronic Data Interchange).
- Familiarity with inventory and warehouse processes.
- Experience in a manufacturing, distribution, or similar product-based environment.
