Purchasing and Estimating Coordinator

Manley deBoer Lumber is seeking a highly organized and detail-oriented Purchasing & Estimating Coordinator to support our contractor sales team. This position plays a critical role in preparing material quotes, sourcing building products, coordinating with vendors, and ensuring our customers receive accurate pricing and timely material availability.

The ideal candidate is comfortable working in a fast-paced environment, communicating with contractors and suppliers, and managing multiple quotes and purchase orders simultaneously.

This role sits at the center of our sales, purchasing, and operations teams and directly impacts our ability to serve builders throughout the Florida Keys.

Key Responsibilities:

Estimating & Quoting

• Prepare detailed material quotes for residential and commercial construction projects
• Work closely with outside sales representatives and contractors to interpret material lists and plans
• Price lumber, roofing, hardware, windows, doors, and specialty building materials
• Ensure quotes are accurate, competitive, and aligned with current vendor pricing
• Update quotes based on revisions from contractors or project changes

Purchasing

• Issue purchase orders to vendors based on sales demand and inventory levels
• Source materials from approved suppliers to ensure best price and availability
• Track vendor confirmations and delivery schedules
• Coordinate with yard and receiving teams on incoming materials
• Maintain strong relationships with manufacturer and distributor partners

Vendor Coordination

• Communicate regularly with suppliers regarding pricing, availability, and lead times
• Request special pricing, job quotes, and project discounts
• Monitor product cost changes and communicate updates to sales team
• Resolve backorders or delivery issues quickly

System & Documentation

• Enter quotes, orders, and purchasing information into the Spruce ERP system
• Maintain accurate product pricing and vendor information
• Track open quotes and follow up with sales staff
• Maintain organized documentation for project pricing and purchasing

Daily Activities

Typical tasks include:

• Reviewing contractor material requests
• Preparing quotes for lumber, roofing, and building materials
• Contacting vendors for pricing or availability
• Issuing purchase orders for sold jobs
• Tracking special orders and deliveries
• Coordinating with yard operations and sales staff

Qualifications

Preferred experience includes:

• Experience in building materials, construction supply, or lumber yards
• Familiarity with construction materials and terminology
• Experience with Spruce, Epicor, or other ERP systems (preferred but not required)
• Strong organizational and multitasking skills
• Excellent communication with contractors and vendors
• Ability to read basic material lists or construction drawings (helpful but not required)
