Job Overview
As a multi location, 8 doctor practice, we are seeking a dedicated, compassionate, experienced Veterinary Receptionist to join our team. In this role, you will be the first point of contact for pet owners and their beloved animals, providing exceptional customer service while managing administrative tasks in a fast-paced veterinary environment. Your passion for animal care and strong communication skills will help create a welcoming atmosphere for both clients and their pets.
Responsibilities
- Greet and check-in clients and patients with warmth and professionalism.
- Answer phone calls, respond to emails, and provide general information to clients.
- Schedule appointments for clients, ensuring that veterinary staff are informed of client needs.
- Maintain accurate and updated patient records in the practice management system.
- Process client payments, and handle transactions.
- Assist clients with basic inquiries, such as vaccination schedules, pet care advice, and post-treatment instructions.
- Ensure the reception area is clean, organized, and welcoming at all times.
- Coordinate communication between veterinarians and clients regarding follow-up appointments and treatment plans.
- Handle client complaints or concerns professionally and escalate when necessary.
- Assist with administrative tasks such as faxing, and photocopying documents.
Requirements
- Previous experience as veterinary receptionist is required.
- Familiarity with veterinary terminology to effectively communicate with staff and clients.
- Detail-oriented with a strong focus on accuracy.
- Comfortable working with animals and handling sensitive client situations with empathy and professionalism.
- Excellent verbal and written communication skills.
- Ability to work collaboratively with a diverse team of veterinary professionals.
- Strong organizational skills with the ability to multitask in a busy environment.
- Excellent interpersonal skills to build rapport with clients and their pets.
- Ability to handle collection processes professionally and sensitively.
