Manhattan Pain Medicine is a pioneering multidisciplinary pain practice focused on careful evaluation, coordinated care, and durable relief for people living with complex pain.


We are in a growth phase and are seeking a highly capable Business Project Manager to support our Medical Director and leadership team across operations, strategic projects, communication, and organizational execution.

This is a high-trust, highly visible position for someone who can operate close to leadership, organize complex priorities, drive projects forward, and help turn ideas into clear action.

Healthcare experience is not required, but an interest in healthcare, operations, and patient-centered work is important.


We are looking for someone who is both strategic and hands-on. The ideal candidate can sit in a leadership meeting, understand the priorities, organize the next steps, and then personally help move the work forward.

This person should be able to bring structure to ambiguity, communicate clearly, anticipate needs, and create momentum without waiting for constant direction. They should be comfortable with high standards, shifting priorities, and a role that requires both business judgment and practical execution.


Role Overview

The Business Project Manager will serve as a central execution partner for the Medical Director and leadership team. This person will help organize business priorities, manage cross-functional projects, coordinate key meetings, track deliverables, improve internal systems, and ensure important initiatives move forward with clarity and accountability.

The ideal candidate is proactive, strategic, organized, and hands-on. This role requires someone who can think several steps ahead, identify gaps before they become problems, communicate clearly across teams, and follow through with precision.


Key Responsibilities

Business Operations and Project Management

  • Manage and track key business, operational, and strategic projects from planning through completion.
  • Create clear project plans, timelines, task lists, owners, and follow-up systems.
  • Identify bottlenecks, missing information, and operational gaps, then propose practical solutions.
  • Coordinate across departments to keep projects organized, deadlines visible, and next steps clear.
  • Help translate strategic priorities into executable workflows and measurable progress.


Executive and Leadership Support

  • Act as a strategic support partner to the Medical Director and leadership team.
  • Help organize leadership priorities, meeting agendas, follow-ups, and decision points.
  • Prepare concise briefs, summaries, reports, and updates to support decision-making.
  • Help prioritize requests, meetings, and projects based on urgency and strategic value.
  • Maintain a clear view of open initiatives and ensure appropriate follow-through.


Cross-Functional Coordination

  • Serve as a central communication hub between leadership, staff, vendors, partners, and external stakeholders.
  • Coordinate internal meetings, leadership discussions, project check-ins, and follow-up items.
  • Help align teams around priorities, expectations, deadlines, and responsibilities.
  • Support collaboration between clinical operations, administration, marketing, billing, technology, and external partners.
  • Ensure important information is organized, accessible, and communicated clearly.


Process Improvement and Systems Organization

  • Evaluate existing workflows and identify opportunities to improve structure, accountability, and efficiency.
  • Create or refine internal systems, trackers, SOPs, templates, and project documentation.
  • Support the implementation of new tools, processes, and operational standards.
  • Bring order and structure to complex or evolving initiatives.


Meeting and Stakeholder Management

  • Prepare agendas, meeting materials, talking points, and follow-up summaries.
  • Capture key decisions, action items, owners, and deadlines after meetings.
  • Coordinate meetings with internal leaders, external partners, vendors, referrers, and strategic contacts.
  • Support planning and execution for business meetings, provider dinners, webinars, conferences, and other strategic events.
  • Ensure follow-up after important meetings is timely, polished, and complete.


Research and Strategic Support

  • Conduct research related to operations, business development, healthcare trends, vendors, partnerships, and strategic initiatives.
  • Prepare concise summaries with key findings, recommendations, and next steps.
  • Support leadership with simple analysis, comparison documents, and decision-support materials.
  • Help evaluate opportunities, partnerships, and operational improvements with a practical, business-minded approach.


Communication and Documentation

  • Draft, edit, and organize professional communications, internal updates, documents, reports, and presentations.
  • Maintain polished, accurate, and well-structured documentation for leadership review.
  • Support communication with external partners, vendors, and professional contacts when appropriate.
  • Ensure written materials are clear, professional, and aligned with the practice’s standards.


Confidentiality and Judgment

  • Handle sensitive business, personnel, operational, and leadership information with discretion.
  • Use sound judgment when prioritizing issues, escalating concerns, and communicating on behalf of leadership.
  • Maintain professionalism and composure in a fast-paced, high-expectation environment.


Qualifications

  • Minimum 3 years of experience in business operations, project management, executive operations, chief of staff support, healthcare administration, consulting, professional services, or a similar role.
  • Experience working directly with senior leadership, executives, or business owners.
  • Strong project management skills, including the ability to organize priorities, track deadlines, and drive follow-through.
  • Excellent written and verbal communication skills.
  • Highly organized, detail-oriented, and able to manage multiple workstreams at once.
  • Strong problem-solving ability with a proactive, practical mindset.
  • Comfortable working across departments and communicating with different types of stakeholders.
  • High level of discretion, professionalism, and emotional intelligence.
  • Comfortable with technology, shared drives, Google Suite, spreadsheets, task management tools, and operational trackers.
  • Interest in healthcare, patient care, operations, or mission-driven work.
  • Prior healthcare, medical practice, consulting, or professional services experience is a plus.


Compensation and Benefits

  • Salary range: $90,000 to $130,000 per year, depending on experience.
  • Full-time role with benefits.
  • Standard weekday schedule, with occasional flexibility to support early or late meetings when needed.
  • Growth-oriented role with direct exposure to executive leadership and strategic practice initiatives.
