We seek a motivated project scheduler to support our multidiscipline projects within the refineries and other heavy industry clients. We are looking for an individual who is interested and has the capability to grow from a project scheduler; someone who develops and maintains schedules from input from others, into a project planner; someone who develops and maintains schedules mostly independent, understands when to seek out specific information from stakeholders and initiates discussion with the Mangan project manager to resolve issues with schedule development and/or schedule monitoring & control.
Position Summary
As a Project Scheduler, you be part of our Project Control group, which is fundamentally a support service to our technical project teams and project managers. Your primary objective is to support and make the job of the project managers you work with better and easier in the areas of your responsibility. You will have two primary responsibilities; Project Schedule Development and Project Schedule Monitoring & Control.
Qualifications and Skills
- Experience:
- Strong understanding of engineering and procurement project workflow, more so than construction.
- Candidates should be fully trained and highly proficient in the scheduling software Primavera P6 and Microsoft Project.
- Strong skills in Microsoft office, particularly WORD and EXCEL.
- An ideal candidate is someone who has worked in a technical capacity at an engineering firm, prior to transitioning into scheduling with 2 years of scheduling experience
- Communication and Collaboration: Excellent communication and interpersonal skills to collaborate effectively with cross-functional teams.
- Have experience in and be able to facilitate and participate in the Interactive Schedule Development process.
- Ability to interact with client personnel as required inside and outside of meetings
- Adaptability and Initiative:
- Detailed oriented – our schedules may contain hundreds or thousands of activities. The scheduler’s job is to ensure each activity’s WBS, logic and properties make sense.
- Take initiative and not be detoured by ignored or slow responses to meeting your commitments. Ability to work in a dynamic, fast-paced environment, effectively managing multiple tasks and priorities. Proactive attitude with a willingness to learn and explore new technologies and methodologies.
Responsibilities and Duties
The following are considered prominent roles and responsibilities of the project scheduler:
- Project Schedule Development –
- Developing schedules, primarily in Primavera P6 and occasionally in Microsoft project.
- Schedules are developed following our established QA processes (i.e. workflow), meeting / passing clients Project Controls QC standards (i.e. Accume Scores, Schedule standards).
- Leading schedule development workshops with Mangan and client Project Teams and Project Managers, such as interactive planning sessions using Netpoint, Excel or in-person whiteboard / post-it notes.
- Schedule Basis documents are consistently developed for all formal schedules meeting client expectations
- Schedules are consistently submitted for scoring / evaluation from client Project Controls at the scheduler’s initiative.
- Schedules are resource loaded in a logical manner; i.e. leveling resources
- Lead schedule reviews with Mangan and client Project Teams and Project Managers
- Learn and master our Mangan WBS, typical engineering work flow for each discipline. Maintain and update the Mangan WBS as necessary.
- Project Schedule Monitoring and Control
- Schedules are updated consistently following client or project update frequency requirements (i.e. monthly, bi-weekly, weekly)
- % completes, used for project updates, are consistently collected for each project.
- % completes collection – continually make this effort easier to extract from project teams / project managers, being flexible to adapt to different project managers needs, schedules and communications methods.
- Evaluate and use schedule reports (Critical path, Delay report, Look Ahead, etc.) to assess project status, advise Project Managers of issues or opportunities with their project schedules.
- Indirect Responsibilities include:
- Leading or participating in Project Control group reoccurring meeting (weekly or bi-weekly), following an agenda focusing on a) Active and Forecast workload b) PM’s to follow up with c) New schedule requirements and Mangan PM or client feedback d) issues and concerns with active schedule development or schedule monitoring and control
- Maintain Schedule Development Request log – this is what informs workload to determine if our schedulers are overloaded or underloaded
- Follow up with Mangan PM’s to confirm when schedule projects will need to be develop and when the relevant information to develop the schedule will be available
- Track / log schedule QC scoring
- Track / log schedule development – Budgeted hours vs. Actual hours
- Maintain and update our schedule engineering estimate; i.e. budgeted hours to develop schedule based on schedule size and different client requirements.
- Use, maintain and update schedule templates, workflows, and guides.
- Attend monthly Project Manager & Lead meetings, and as applicable to advise this group on relevant schedule topics, updates or changes
- Maintain professional and friendly relationships with client project control peers, so that we can rely on them to advise and update us on client expectations and changes in schedule development and monitoring & control requirements.

Salary : $75,000 - $85,000
