Availability to work Weekends is preferred (Sat 9-3) (Sun 9-12)
Responsibilities
- Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette
- Operate multi-line phone systems efficiently, handling inquiries and routing calls promptly
- Perform data entry tasks using Microsoft Office and other office software to maintain accurate records
- Organize and file documents systematically, ensuring easy retrieval and compliance with company policies
- Support office management activities such as calendar management, scheduling appointments, and coordinating meetings
- Provide excellent customer support by addressing inquiries, supporting client needs, and maintaining positive interactions
- Handle clerical duties including proofreading documents, managing correspondence, and maintaining office supplies
Requirements
- Proven office experience with strong organizational skills and attention to detail
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
- Familiarity with multi-line phone systems and phone etiquette standards
- Bilingual abilities are highly preferred to assist diverse clients and team members effectively
- Previous clerical or administrative experience in a professional setting is essential
- Strong computer literacy with the ability to perform data entry, filing, proofreading, and basic bookkeeping tasks
- Excellent time management skills with the ability to prioritize tasks efficiently
- Personal assistant experience is a plus but not required
- Knowledge of office management practices including calendar management and document organization
